Position Overview

The Senior Administrative Assistant will serve as a trusted partner to executive leadership by managing complex administrative responsibilities, coordinating executive operations, and supporting organization-wide initiatives. The ideal candidate is highly organized, proactive, and thrives in a fast-paced environment while maintaining the highest level of professionalism and confidentiality. Responsibilities Of The Senior Administrative Assistant

  • Provide high-level administrative support to executive leadership.
  • Manage complex calendars, meetings, and scheduling priorities.
  • Prepare presentations, reports, briefing materials, and executive correspondence.
  • Coordinate internal and external meetings with senior leaders and stakeholders.
  • Screen communications and serve as a liaison between executives and internal/external partners.
  • Process expense reports, invoices, and budget-related documentation.
  • Track projects, deadlines, and organizational initiatives.
  • Maintain confidential records and sensitive information.
  • Coordinate cross-functional meetings and assist with strategic projects.
  • Support executive office operations and additional administrative initiatives as needed.

Required Experience/Skills For The Senior Administrative Assistant

  • 3–5+ years of executive or senior administrative support experience.
  • Strong calendar management and executive scheduling experience.
  • Excellent written and verbal communication skills.
  • Outstanding organizational and project coordination abilities.
  • High level of discretion when handling confidential information.
  • Advanced Microsoft Outlook and Teams proficiency.
  • Strong Microsoft Word skills with intermediate Excel and PowerPoint knowledge.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Self-motivated with exceptional follow-up and attention to detail.

Preferred Experience/Skills For The Senior Administrative Assistant

  • Previous nonprofit or mission-driven organization experience.
  • Experience supporting C-suite executives or senior leadership.
  • Experience with project management platforms such as Asana.
  • Familiarity with Adobe Acrobat, Zoom, SignNow, and related office technologies.
  • Passion for community engagement and nonprofit work.

Education Requirements

  • Bachelor's degree preferred or equivalent professional experience.
