We’re a small team building STEM learning pathways for students across Oklahoma, and we’re looking for an Operations Coordinator to keep the organization running well. You’ll work with every function here, from the Executive Director’s calendar and Board meetings to donor records, event logistics, and the newsletters that go out each month. It’s a rare chance to see how a whole nonprofit operates, not just one corner of it.
This is a good fit if you’re the person who notices calendar conflicts before anyone else does.
What you’ll do
- Coordinate meetings and calendars across the organization, including the Executive Director, Board of Directors, and partner and donor meetings
- Keep records accurate across participants, programs, partners, donors, sponsors, and vendors
- Coordinate logistics for internal events, program activities, and fundraising events
- Help recurring communications go out on time: newsletters, social posts, proofreading, distribution lists
- Support purchasing, expense processing, vendor coordination, and travel
- Serve as first point of contact for our general inbox, phone, and mail
- Document how recurring work gets done, and improve it as we grow
What we’re looking for
You’ve provided administrative, nonprofit, executive, or program support before, and you have an associate degree, bachelor’s degree, or an equivalent mix of education and experience.
Beyond that, the people who do well in this role tend to be organized to the point that it’s a reflex, comfortable producing accurate written work quickly, and good at anticipating what someone will need before they ask. You’ll handle confidential donor, personnel, and governance information, so sound judgment matters. Experience with a donor database or CRM, or supporting a board or committee, is a plus.
Working here
This is a full-time, non-exempt role based at our Tulsa office with one remote day each week. The position reports to the Senior Manager, Communications & Impact. Occasional evening or weekend work for events.
The salary is $40,000- $45,000, plus health, dental, vision, and life insurance, a 50% 401k match up to 3% of your salary, 160 hours of paid time off, and 14 paid holidays.
