Individual Giving Manager Job Description
The Individual Giving Manager is responsible for building and managing a comprehensive individual giving program that supports the organization's $14.5 million annual operating budget and $5.2 million capital campaign. This position will cultivate, solicit, and steward a portfolio of individual donors at all levels, develop and grow the annual fund, and lead targeted campaigns designed to increase donor engagement and revenue.
Primary Areas Of Responsibility
- Capital Campaign Support
- Manage an assigned portfolio of individual capital campaign prospects and donors, with a focus on gifts in the $1,000–$25,000 range
- Conduct research, strategy, cultivation, and solicitation visits with prospects identified by the Chief Advancement Officer or Campaign Committee
- Coordinate cultivation events and coordinate follow up asks with hosts and lead staff
- Draft personalized solicitation materials and proposals for capital campaign asks
- Track all donor interactions in the donor database
- Provide stewardship for all capital campaign gifts
- Assist with campaign reporting, communications, and donor recognition activities.
- Major Gifts – Capital Campaign and Operating Support
- Manage a portfolio of 25-40 prospects and donors with capacity to give $5,000+
- Develop and execute individualized cultivation and solicitation strategies
- Conduct a minimum of 8-10 meaningful touchpoints such as phone calls, video calls, and personal visits with portfolio donors each month
- Prepare and present major gift proposals and impact reports
- Partner with the CEO and CAO on the highest-level major gift relationships ($25,000+)
- Develop and maintain a pipeline of prospective major donors through research, referrals, and events
- Ensure thorough documentation of all donor activity in the CRM following each interaction
- Donor Relations & Stewardship
- Ensure all donors receive timely, accurate, and meaningful gift acknowledgment
- Develop and maintain a tiered stewardship plan that provides donors with consistent engagement and impact reporting
- Coordinate site visits, program tours, and Club experiences for donors and prospects
- Write personalized stewardship reports and impact letters for major donors as needed
- Represent the organization professionally at fundraising events, community gatherings, and donor cultivation activities
- Annual Fund Program
Develop and manage a comprehensive, multi-channel annual fund program to grow unrestricted and lightly restricted revenue across all giving levels.
Program Management
- Develop a 12-month calendar of appeals, renewals, and upgrade asks
- Segment the donor database to create targeted outreach based on giving history, capacity, and interests
- Build and manage a mid-level giving society ($500–$4,999) as a pipeline to major gifts
- Develop a lapsed donor reactivation strategy
- Analyze results after each campaign cycle and present findings and recommendations to the CAO
Direct Mail
- Plan and execute 3 – 4 appeals per year (year-end, spring, and targeted mid-year asks)
- Write appeal letters and oversee mailing
- Track response rates, average gift, and cost-per-dollar raised; test messaging and ask amounts to optimize year-over-year
Greatness Amplified — Summer One-Day Giving Campaign
- Serve as staff lead for annual campaign strategy and execution
- Work with CEO and CAO to cultivate, secure, and steward matching gift commitments from existing and new partners in advance of giving day
- Develop campaign messaging, email appeals, and social content
- Recruit and manage a volunteer ambassador team
- Coordinate Thank-A-Thon
- Produce a post-campaign report with final results
Monthly Giving
- Launch and grow a monthly giving program (e.g., Great Futures Society), including naming, impact messaging, and donor recognition structure
- Execute a conversion strategy to move annual fund donors to monthly status via mail, email, and personal outreach
- Manage payment processing, failed charge follow-up, retention touchpoints, and upgrade asks
- Track and report on revenue, retention rate, average gift, and total active sustainers
- Legacy Giving Program
- Grow the Heritage Club legacy giving program by working with the CEO and CAO to identify, cultivate, secure, and steward 3-5 new members per year
- Draft personalized solicitation materials and proposals for asks
- Make 1-2 meaningful contacts per month with prospects and existing Heritage Club members and track all donor interactions in the donor database
Please note: Upon hire, the primary focus will be on the capital campaign, major gifts, and donor relations/stewardship (items 1-3 in the description above). Once the capital campaign begins to wind down, duties will shift to include greater focus on annual fund and legacy giving (items 4-5).
Requirements
Education & Experience
- Bachelor's degree required
- Minimum of 3–5 years of experience in nonprofit fundraising, with demonstrated success in individual giving
- Experience managing a major gift portfolio and making solicitations at the $5,000+ level
Skills & Competencies
- Strong interpersonal skills with the ability to build authentic relationships with donors, volunteers, and colleagues
- Highly organized with strong project management skills and ability to manage multiple deadlines
- Excellent written and verbal communication skills, including the ability to write compelling donor-facing copy
- Experience using donor database software
- Ability to move projects from concept to execution
