Job Summary:
The Grants Manager leads Texas Diaper Bank’s grant portfolio across all funder types — private foundations, corporate foundations, government sources, and institutional funders — managing each grant from prospect research through renewal. This role owns TDB’s grants intelligence function, maintaining an active picture of submission status, funder history, stewardship obligations, and planned submissions across all program areas using Instrumentl. The Grants Manager writes proposals directly and coordinates with a contract grant writing firm that is an ongoing part of TDB’s advancement model. This position works closely with the Chief of Advancement and Programs and is a primary driver of TDB’s foundation revenue goals.
Grant Writing & Foundation Strategy:
• Lead TDB’s grant program across all funder types: prospect research, funder cultivation, proposal development, submission, compliance, reporting, and renewal
• Coordinate with TDB’s contract grant writing firm on proposal assignments, timelines, and submission logistics; review completed drafts for accuracy and alignment with TDB’s voice and program data before submission
• Manage the grant calendar in Instrumentl, tracking all deadlines, reporting requirements, compliance dates, and pipeline activity
• Develop and maintain a dynamic content library of program narratives, outcome data, and client impact stories that strengthens proposals and supports the full range of TDB’s grant writing needs
• Write and submit smaller sponsorship requests and funding appeals as pipeline requires
• Support special project-based grant initiatives as directed by the Chief of Advancement and Programs, including capacity building, service area expansion, and other organizational priorities identified by the Executive Director
• Collaborate with Programs, Advancement, and Resources staff to understand departmental funding needs and gather supporting information for proposals and special project initiatives
• Work with the Chief of Advancement and Programs and Finance staff to develop accurate program budgets for grant proposals, ensuring requests are realistic, allowable under funder guidelines, and aligned with TDB’s actual program costs
• Ensure all grant budgets submitted for renewal reflect updated program costs and incorporate any budget modifications approved during the prior grant period
• Collaborate with Finance staff as needed on compliance, reimbursement, and audit-related requirements for awarded grants
Funder Pipeline Development:
• Research and qualify prospective funders using Instrumentl and other grant research tools, evaluating alignment with TDB’s programs and funding priorities
• Build pre-application relationships with foundation program officers where appropriate, positioning TDB as a strong candidate prior to formal submission
• Document pipeline activity in Instrumentl with alignment rationale, recommended ask amounts, and submission timelines
• Identify emerging foundation opportunities and bring forward-looking pipeline recommendations to the Chief of Advancement and Programs
• Contribute strategic insight by analyzing funding trends, win rates, and funder alignment to inform advancement planning and future program investment decisions
Grant Stewardship & Donor Acknowledgment:
• Own the grant stewardship calendar, ensuring all awarded funders receive appropriate touchpoints between grant cycles
• Write all formal grant reports, interim updates, and compliance communications, ensuring submissions are accurate, on time, and reflective of program outcomes
• Maintain working knowledge of the terms, conditions, and restrictions of all active awards
• Draft funder correspondence on behalf of the Executive Director and Chief of Advancement and Programs, including thank-you letters, site visit follow-ups, and cultivation communications
• Manage acknowledgment communications for all awarded foundation, corporate, and government funders
• Support individual donor acknowledgment as capacity allows, in coordination with the Chief of Advancement and Programs
• Identify and promptly escalate potential compliance risks, budget variances, or scope-of-use concerns to the Chief of Advancement and Programs to ensure timely corrective action
Grants Intelligence & Reporting:
• Own and maintain TDB’s grant activity reporting function, producing regular reports for the Chief of Advancement and Programs that reflect submission status, pending totals, pipeline by program area and funder type, win rates, prior-year comparisons, and planned submissions by quarter
• Track lapsed funders, volunteer grant eligibility, and stewardship relationships alongside the active pipeline, ensuring the full grants picture is current and accessible
• Maintain accurate grant records in Instrumentl, including application history, award documentation, reporting deadlines, and funder notes
• Perform other duties as assigned by the Chief of Advancement and Programs
Skills Required:
• Bachelor’s degree in Nonprofit Management, Communications, English, Journalism, Public Administration, or a related field
• Minimum 3–5 years of experience in grant writing (strong emphasis on foundations), nonprofit development, or a related field
• Demonstrated excellence in grant writing and reporting, with a portfolio that reflects accuracy, narrative strength, and funder-appropriate framing
• Exceptional attention to detail; demonstrated ability to manage a high-volume portfolio of concurrent submissions, deadlines, and compliance obligations without errors
• Comfort with grant budget construction; ability to build a program budget for a proposal, read and interpret a budget narrative, and ensure renewal budgets reflect accurate and allowable costs
• Experience coordinating with external contractors, consultants, or partner organizations
• Comfort with grant management platforms; Instrumentl experience strongly preferred; Salesforce experience or willingness to build proficiency required
• Ability to manage a portfolio of concurrent deadlines with accuracy and minimal supervision
Preferred Qualifications:
• Background in journalism, communications, or public-facing writing that demonstrates narrative fluency and deadline discipline
• Experience conducting client or constituent interviews for grant narratives or organizational storytelling
• Experience building or expanding a foundation prospect pipeline
• Familiarity with the philanthropic communities and foundation landscape of San Antonio and Texas
• Experience with government or institutional funder grant programs (city, county, state, or federal)
• Experience developing or maintaining a grants reporting or tracking function, including pipeline analysis, program-area breakdowns, or funder history documentation
• Experience developing grant budgets for proposals or renewals, including working with Finance staff to ensure accuracy and funder compliance
• Understanding of diaper need, period poverty, incontinence, or essential hygiene as intersecting public health and economic equity issues
• Bilingual English/Spanish a plus
Work Location: Primarily remote; must be San Antonio-based.
Work location can change at any time from remote to in-office as required by the Chief of Advancement and Programs.
Work Hours: 40 hours per week. This role operates on a cyclical schedule driven by grant deadlines and overlapping submission periods; high-volume periods may occasionally require evening or weekend work. Flexibility to adjust schedule based on workload is expected.
