Role Description The Front Office Specialist is a full-time, on-site role based in Plymouth Meeting, PA. This position is responsible for greeting patients and visitors, answering and directing phone calls, and serving as a primary point of contact for individuals accessing Caron’s services. Daily duties include appointment scheduling, updating and maintaining patient records, managing check-in and check-out processes, and coordinating with clinical and administrative staff to support smooth patient flow. The Front Office Specialist will handle reception desk operations, respond to inquiries with professionalism and empathy, and ensure that the front office environment is organized, welcoming, and aligned with Caron’s mission of compassionate care.
Qualifications
- Strong customer service and receptionist duties skills, with the ability to interact respectfully and sensitively with patients and families.
- Demonstrated phone etiquette and communication skills, including clear verbal communication and active listening.
- Experience with appointment scheduling and basic administrative tasks in a medical or behavioral health setting is preferred.
- Proficiency with office software and electronic scheduling or record systems; ability to learn new systems quickly.
- High school diploma or equivalent required; post-secondary education or training in healthcare administration or related fields is a plus.
- Ability to maintain confidentiality, follow policies and procedures, and work effectively in a multidisciplinary team environment.
- Reliable, detail-oriented, and able to manage multiple tasks while providing a calm and welcoming presence at the front desk.
