SUPERVISED BY: Executive Director

REGULARLY SCHDULED HRS/WK: 40 hours per week during 12-month calendar year

Overview

Christian Outreach with Appalachian People, Inc. (COAP) is a nonprofit housing development organization serving Harlan, Bell, and Leslie Counties in Southeastern Kentucky. COAP works to strengthen our community through quality affordable housing, strategic investment, and collaborative partnerships that create opportunity and hope.

COAP seeks a highly organized, detail-oriented, and dependable Finance Coordinator to manage the organization’s day-to-day financial and bookkeeping functions. This position will work closely with the Executive Director to maintain accurate financial records, process payroll, accounts payable and receivable, support grant financial management, and ensure timely completion of required financial and tax filings.

The Finance Coordinator will serve as the primary staff member responsible for routine financial transactions and recordkeeping and will coordinate with COAP’s CPA, auditors, financial institutions, funding agencies, vendors, and other partners as needed. The position requires a high degree of accuracy, confidentiality, organization, and the ability to manage recurring deadlines across multiple programs and funding sources.

Key Responsibilities

Bookkeeping & Financial Management

  • Maintain accurate and current financial records using QuickBooks.
  • Record deposits, payments, receipts, expenses, transfers, and other financial transactions.
  • Reconcile bank accounts, credit cards, loans, and other financial accounts.
  • Maintain organized documentation supporting financial transactions.
  • Ensure revenues and expenses are properly classified by account, program, project, and funding source.
  • Assist the Executive Director with budgets, financial reports, cash-flow information, and other financial analysis as needed.

Payroll, Taxes & Compliance

  • Process employee payroll accurately and according to established schedules.
  • Maintain employee payroll, withholding, deduction, leave, and related records.
  • Calculate and process applicable federal, state, and local payroll taxes and withholdings.
  • Prepare and submit federal payroll tax deposits and required IRS filings, including Form 941.
  • Prepare and submit Kentucky withholding and unemployment filings and payments.
  • Prepare year-end Forms W-2, 1099, and other required reporting.

Accounts Payable & Receivable

  • Process vendor invoices and payments, maintain vendor records, and ensure appropriate supporting documentation is maintained.
  • Record and track receivables, payments, and deposits and maintain accurate account balances.
  • Assist the Executive Director with monitoring grant and program budgets.
  • Assist with monthly, quarterly, and annual financial reporting.
  • Provide records and supporting documentation for annual audits and other financial reviews.
  • Work with COAP’s CPA and auditors to provide requested financial records, reconciliations, and schedules.
  • Assist with preparation of financial information necessary for COAP’s annual Form 990 and other required filings.
  • Help maintain appropriate internal financial controls and compliance with organizational policies and funding requirements.

Preferred Qualifications

  • Associate’s or bachelor’s degree in accounting, finance, business administration, or a related field preferred; relevant experience may be considered in lieu of a degree.
  • Experience in bookkeeping, accounting, payroll, financial administration, or a related field.
  • Experience with QuickBooks Online or similar accounting software preferred.
  • Experience processing payroll and federal and state payroll tax filings preferred.
  • Proficiency with Microsoft Excel, Word, Outlook, and common office applications.
  • Experience with nonprofit accounting, grants, governmental funding, construction, housing, or project-based accounting is beneficial.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple responsibilities and recurring financial and regulatory deadlines.
  • Ability to work independently while coordinating effectively with the Executive Director, staff, CPA, auditors, and outside partners.
  • Demonstrated professionalism, dependability, sound judgment, and ability to maintain strict confidentiality.

Pay: Commensurate with experience and qualifications
