We are seeking a full-time Executive Operations Administrator to support the CEO and Vice President of Development while ensuring the smooth operation of Rally’s daily activities. Position Summary

The Executive Operations Administrator serves as a strategic partner to the CEO and Vice-President of Development, providing executive support, operational leadership, project coordination, and office management that enables organizational excellence.

This highly visible role is responsible for managing executive priorities, coordinating organizational initiatives, overseeing office operations, supporting Board activities, and ensuring seamless communication across the organization. The Executive Operations Administrator serves as a trusted partner to leadership while anticipating needs, solving problems, and driving projects forward.

Key Responsibilities

Executive Operations & Executive Support

  • Manage complex calendars, scheduling, and meeting coordination for the CEO and Vice President of Development.
  • Coordinate all executive travel, including flights, hotels, transportation, dining reservations, and comprehensive travel itineraries.
  • Manage executive action items, ensuring priorities remain on track and deadlines are met.
  • Assist with executive email management, including prioritization, drafting correspondence, and follow-up communications.
  • Coordinate executive relationship management and stewardship activities.
  • Track, reconcile, and submit executive expense reports accurately and on time.
  • Prepare presentations, reports, briefing materials, and executive correspondence.
  • Maintain strict confidentiality while handling sensitive organizational, personnel, donor, and Board information.
  • Identify opportunities to improve systems, workflows, and organizational efficiency.

Board & Leadership Support

  • Coordinate leadership meetings, staff meetings, and executive planning sessions.
  • Support planning and execution of quarterly Board of Directors meetings, including agendas, materials, logistics, and follow-up.
  • Monitor organizational priorities and assist leadership with cross-functional project coordination.

Office Operations

  • Serve as the primary administrator for day-to-day office operations.
  • Manage office vendors, supplies, equipment, hospitality, mail, packages, and facility’s needs.
  • Oversee PTO and vacation tracking systems.
  • Maintain organizational records and support data integrity across multiple platforms.
  • Coordinate employee recognition programs, celebrations, and internal engagement activities.
  • Ensure the office operates efficiently while creating a welcoming environment for staff and visitors.

Events & Volunteer Coordination

  • Coordinate volunteer recruitment, scheduling, and communication for organizational events.
  • Assist with planning and execution of fundraising events, organizational meetings, and staff engagement activities.
  • Coordinate logistics, materials, hospitality, and post-event follow-up.
  • Arrange donor acknowledgments, appreciation gifts, and event support materials.
  • Connect volunteers with organizational needs throughout the year.

Executive Communications & Brand Support

  • Assist with management of the CEO’s LinkedIn presence.
  • Draft, proofread, and edit executive communications, presentations, reports, and correspondence.
  • Review marketing, fundraising, and organizational communications for accuracy, consistency, and adherence to brand standards.
  • Manage communication review workflows through Monday.com and other project management platforms.
  • Collaborate with executive leadership, development, and marketing teams to ensure messaging aligns with organizational priorities.

Qualifications

  • Three or more years of experience supporting C-suite executives, founders, presidents, or senior leadership in an Executive Assistant, Executive Administrator, Executive Coordinator, or similar role.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment while maintaining exceptional attention to detail.
  • Outstanding written and verbal communication skills.
  • Exceptional organizational, project management, and problem-solving abilities.
  • High level of discretion and professionalism in handling confidential information.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other business productivity tools.
  • Ability to work independently while collaborating effectively across departments.

Preferred

  • Experience with Salesforce, Monday.com, Zoho, or comparable CRM and project management systems.
  • Experience supporting nonprofit organizations or mission-driven organizations.
  • Experience coordinating Board of Directors meetings and executive-level projects.

Hybrid Work Schedule: This position is based in our office Tuesday through Thursday, with remote work typically available on Mondays and Fridays. Flexibility is required, as business needs may occasionally require in-office work on remote days.

Qualifications

·      3+ years of experience in administrative, operations, or executive support (nonprofit experience preferred)

·      Experience coordinating volunteers or supporting events is a strong plus

·      Proficient in Microsoft Office including Outlook, Word, Excel, and Teams

·      CRM experience required; Salesforce experience strongly preferred.

·      Bachelor’s degree or equivalent experience preferred

Essential Job Functions:

·      Standard schedule is Monday and Friday remote; Tuesday, Wednesday, and Thursday in-office. Flexibility required for occasional in-office Mondays or Fridays.

·      Must be available for occasional evening and weekend work to support events or deadlines.

·      Must be able to lift and carry items up to 25 pounds (e.g., event supplies, boxes, materials).

·      Must be able to stand for extended periods during events and volunteer coordination.

·      Local travel within the Atlanta area required for errands, meetings, and on-site event support.

·      Must be able to work at a computer for extended periods and manage multiple communication platforms.
