About our client:
Addison Group is partnering with a mission-driven nonprofit organization seeking a highly experienced Executive Assistant to support executive leadership. This organization operates in a fast-paced, high-impact environment and is known for its commitment to advocacy and community service.
Job Description:
The Executive Assistant will provide high-level administrative support to senior leadership, including two executives, while serving as a key liaison to the Board of Directors. This role requires a proactive, highly organized professional who can manage competing priorities, maintain confidentiality, and operate independently in a dynamic and fast-paced environment.
This position plays a critical role in ensuring seamless executive operations, supporting governance processes, and coordinating high-level meetings, events, and communications.
Key Responsibilities:
Manage complex calendars for executive leadership, including coordinating schedules across multiple stakeholders
Coordinate high-level meetings, board meetings, and leadership events
Prepare agendas, presentations, and board materials
Serve as liaison between executives, board members, and internal/external stakeholders
Track action items and ensure follow-through on key initiatives
Draft and proofread correspondence and executive communications
Coordinate travel arrangements and process expense reports
Support board governance processes, including maintaining records and meeting minutes
Assist with confidential projects, including labor relations and organizational initiatives
Maintain organized and secure documentation and files
Qualifications:
5+ years of Executive Assistant experience supporting senior leadership
Experience Supporting a Board Of Directors Required
Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and Google Suite
Experience with Zoom and virtual meeting platforms
Exceptional organizational and time management skills
Strong attention to detail, including proofreading and editing abilities
Ability to manage multiple priorities and work independently
Professional, discreet, and able to handle highly confidential information
Strong communication skills with ability to interact with executives and stakeholders
Stable work history preferred
Additional Details:
Temp-to-hire opportunity
On-site role (5 days/week) in San Antonio
Some travel required (monthly travel to Austin, Houston, Corpus Christi, or Dallas)
Start date targeted for April
