Position Overview

The Development and Community Engagement Coordinator is a part-time member of the Symphony of the Americas team who supports the organization’s fundraising, donor stewardship, community partnerships and event operations.

Working closely with the Director of Development, this position assists with donor relations, membership renewals, database management, gift processing, prospect research, special events and board engagement. The position also serves as an important representative of Symphony of the Americas in the community, helping coordinate relationships with donors, board members, Symphony Society members, local businesses, nonprofit organizations and other community partners.

The ideal candidate is highly organized, personable and comfortable balancing detailed administrative work with hands-on responsibilities at rehearsals, concerts, events and community activities.

Employment Details

Status: Part-Time, Non-Exempt

Schedule: Approximately 20–25 hours per week, including occasional evenings and weekends for rehearsals, concerts, donor events and community activities

Reports To: Director of Development

Development and Donor Relations

  • Assist with Symphony of the Americas membership renewal and annual giving programs under the direction of the Director of Development.
  • Support quarterly and annual goals related to membership, donor retention and contributed revenue.
  • Help identify, research and cultivate prospective donors and members through the donor cycle, including identification, qualification, cultivation, solicitation and stewardship.
  • Prepare and execute renewal letters, donor correspondence, proposals, agreements, addenda and other development materials.
  • Ensure timely and accurate delivery of donation acknowledgements, membership materials and stewardship communications.
  • Manage the weekly gift acknowledgement process and produce donor letters.
  • Assist with incoming gifts, pledge tracking, check requests and other development-related financial processes.
  • Compile folders, presentations and supporting materials for donor and prospect meetings.
  • Monitor local media and community news for information related to philanthropic trends, prospective donors and corporate partners.
  • Assist patrons and donors with questions related to memberships, donations and online Symphony of the Americas accounts.
  • Handle confidential donor and organizational information with discretion and professionalism.

Database and Administrative Support

  • Maintain accurate and current donor, member and prospect records in the organization’s constituent database.
  • Record gifts, meeting notes, research findings, communication preferences and other relevant information.
  • Update email and mailing lists to ensure contacts are properly coded and moved through the development process.
  • Achieve proficiency in the organization’s CRM and use it consistently for development tracking and reporting.
  • Assist with scheduling, calendar and contact maintenance, meeting preparation and follow-up.
  • Draft, proofread, edit and send correspondence on behalf of the Development Department.
  • Collaborate with staff across departments to identify donor engagement opportunities and support consistent donor and prospect management.
  • Greet visitors attending donor, committee and development meetings.
  • Perform additional administrative and development duties as assigned.

Board, Committee and Event Support

  • Coordinate logistics and materials for Development Committee and other assigned meetings.
  • Attend committee meetings and prepare agendas, minutes, follow-up materials and other documents as needed.
  • Assist with the planning, preparation and execution of donor events, receptions, meetings and fundraising activities.
  • Manage invitations, online RSVPs, guest lists, name tags, event materials and post-event follow-up.
  • Attend select Symphony of the Americas rehearsals, performances and donor events.
  • Interact professionally and warmly with patrons, donors, board members, artists, community leaders and guests.

Community Engagement Responsibilities

  • Serve as an active and visible ambassador for Symphony of the Americas at concerts, community events, partnership activities and other public-facing programs.
  • Help coordinate communication and engagement with donors, board members, Symphony Society members, volunteers, patrons and other individuals connected to the organization.
  • Develop and maintain positive working relationships with local businesses, nonprofit organizations, civic groups, educational institutions and arts and cultural partners.
  • Coordinate partnership details, cross-promotional opportunities, community participation, ticket initiatives and other collaborative activities.
  • Represent Symphony of the Americas at selected community meetings, networking events, partner programs and public activities.
  • Support outreach efforts designed to introduce new audiences and community members to the organization.
  • Assist with setup and breakdown for rehearsals, performances, donor gatherings and community events, including preparing rehearsal spaces, backstage areas, registration tables, signage, displays and other event materials.
  • Coordinate artist hospitality setup and breakdown for rehearsals, performances and events, including dressing rooms, backstage refreshments, welcome materials and other artist needs.
  • Assist with concert and event load-in and load-out, including transporting, organizing, setting up and breaking down tables, printed materials, donor benefits, promotional items, equipment and supplies.
  • Provide backstage and front-of-house support as assigned during rehearsals, performances and special events.
  • Help ensure that Symphony of the Americas maintains a welcoming, organized and professional presence at every rehearsal, concert, event and community activity.
  • Communicate relevant partnership, donor, artist and event information to staff members and assist with timely follow-up.
  • Support the recruitment, coordination and communication of volunteers when needed.

Required Qualifications

  • Bachelor’s degree from an accredited four-year college or university.
  • At least two years of development, nonprofit administration, donor relations, community engagement or comparable professional experience.
  • Experience managing multiple projects and deadlines while maintaining accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Strong organizational, administrative and project management abilities.
  • Excellent interpersonal and customer service skills.
  • Comfort interacting with donors, board members, community leaders and other high-profile individuals.
  • Proficiency with Microsoft Outlook, Word and Excel.
  • Ability to exercise discretion when handling confidential information.
  • Ability to work independently while communicating effectively as part of a collaborative team.
  • Reliable transportation and the ability to travel locally for rehearsals, concerts, meetings and community events.
  • Evening and weekend availability for select rehearsals, performances, events and activities.

Preferred Qualifications

  • Experience working in an arts, cultural or nonprofit organization.
  • Previous fundraising, membership or donor stewardship experience.
  • Experience with CRM or fundraising database systems such as Salesforce, Raiser’s Edge, Kindful or Bloomerang.
  • Familiarity with Microsoft 365 and Google Workspace.
  • Experience with platforms such as Constant Contact, Mailchimp or Eventbrite.
  • Experience coordinating events, volunteers or community partnerships.
  • Proficiency in Spanish is a plus.

Physical Requirements

This position regularly requires working at a computer, preparing and reviewing documents, communicating by telephone and participating in face-to-face meetings. The employee must be able to stand and walk for extended periods during rehearsals, concerts and events and to bend, reach, lift and carry event materials, office supplies and equipment weighing up to 25 pounds.
