Position Summary

The Technical Operations Coordinator supports the implementation, operation, and continuous improvement of WOT technology-enabled systems and projects. This position coordinates technical workflows, maintains system documentation, supports data quality and reporting, assists with platform testing and user acceptance, administers authorized user access, and serves as an operational liaison among WOT staff, customers, implementation partners, and technology vendors. The role connects people, processes, data, and technology and translates technical information into clear, usable procedures for nontechnical users.

Key Responsibilities

Platform implementation and operations: Coordinate post-launch activities, system support, demonstrations, releases, configuration changes, operational-readiness tasks, deliverables, dependencies, and open issues for assigned WOT systems and projects.

Technical documentation and version control: Maintain technology specifications, implementation records, training materials, standard operating procedures, meeting notes, decision logs, action logs, issue trackers, and approved change histories.

Platform testing and user acceptance: Test new features, updates, integrations, and workflows; execute test scripts and user acceptance testing; document defects with reproduction steps and screenshots; verify fixes; and conduct regression testing.

Data operations and quality: Review data quality; validate CSV files, mappings, imports, exports, required fields, metadata, and record counts; reconcile organization and contact records; and identify duplicates, inconsistencies, and exceptions.

Technical systems administration: Create and maintain authorized user accounts, roles, and permissions; support account onboarding and offboarding, access reviews, multifactor authentication verification, vendor-account inventories, password-vault administration, and asset inventories.

Knowledge-base management: Build and maintain an organized library of standard operating procedures, platform user guides, frequently asked questions, partner onboarding guides, troubleshooting resources, reusable templates, video tutorials, and screen-recorded walkthroughs.

Dashboard, CRM, and reporting support: Maintain assigned dashboards, CRM workflows, KPI updates, data-verification processes, monthly reports, event metrics, registration analytics, readiness reporting, CRM statistics, and executive reports after system deployment.

Website and digital-content support: Update approved web pages and landing pages; maintain resources and document libraries; upload reports; publish newsletters; verify links, versions, accessibility basics, and formatting; and support WordPress or other assigned content-management systems.

Cybersecurity and governance support: Assist with access reviews, permission audits, account-lifecycle reviews, security documentation, incident tracking, vendor questionnaires, security-awareness materials, change-control records, and audit evidence collection.

Vendor and partner coordination: Prepare agendas, document decisions and action items, track open issues, follow up on deliverables, maintain escalation paths, and translate operational needs into clear questions and requirements for technical partners and vendors.

AI-enabled operational support: As assigned and approved, build prompt libraries and reusable templates, test AI-enabled workflows, automate repetitive documentation, create meeting summaries and reusable forms, and research tools that may improve productivity while protecting privacy and confidential information.

Continuous improvement: Document bottlenecks, recurring errors, duplicate work, and manual handoffs; recommend workflow improvements; identify appropriate automation opportunities; strengthen onboarding; standardize templates; and improve consistency across WOT projects.

General Duties

– Support WOT by attending community service and outreach activities throughout the year

– Provide excellent customer service to internal and external customers

– Prepare reports, memos, and letters, using word processing, spreadsheet, database, or presentation software

– Serve as courier on demand for deadline driven documents and central office deliverables

– Facilitate errands as needed for central office

– Attend staff and faculty meetings (other meetings as required)

– Conduct customer home visits to ensure the voice of the customer can be heard throughout the transportation and facility logistical processes

Minimum Qualifications

Requirements

– Associate degree in information technology, management information systems, business operations, project management, or a related field; a bachelor’s degree is preferred. Relevant experience may substitute for formal education.

– Two or more years of experience in technical operations, implementation support, systems administration, data operations, CRM support, quality assurance, or project coordination.

– Experience creating technical documentation, standard operating procedures, user guides, training materials, and process records.

– Working knowledge of spreadsheets, CSV files, data imports and exports, record reconciliation, and data-quality practices.

– Experience with user acceptance testing, issue tracking, screenshots, test evidence, defect documentation, and follow-up through resolution.

– Working experience with WordPress, CRM platforms, dashboards, knowledge bases, ticketing systems, project-management tools, or related business systems.

– Knowledge of role-based access, least-privilege principles, multifactor authentication, account-lifecycle practices, confidentiality, and basic cybersecurity controls.

– Strong written and verbal communication skills and the ability to manage multiple priorities, stakeholders, deadlines, and follow-up items with limited supervision.
