Job Summary
We are seeking a professional and attentive Switchboard Operator to serve as the first point of contact for our patients, visitors, and staff. The ideal candidate will possess excellent communication skills, technical proficiency in telephony systems, and a strong commitment to delivering exceptional customer service. This role involves managing multiple phone lines efficiently while maintaining a welcoming and professional environment. Other duties may be assigned that can be managed while answering telephone calls.
Responsibilities
- Operate multi-line phone systems and operator switchboards to handle incoming and outgoing calls with accuracy and courtesy.
- Manage office phone communications, ensuring prompt response to inquiries and proper routing of calls to appropriate departments, sites or personnel.
- Demonstrate proficiency in telephone systems, including telephony technology, to ensure seamless communication flow within the organization.
- Exhibit excellent phone etiquette by maintaining a polite, professional tone during all interactions with callers.
- Assist in managing medical terminology-related inquiries when applicable, providing clear and accurate information or directing calls appropriately.
- Support office operations by maintaining organized records, and ensuring efficient call management.
Qualifications
- Proven experience as a switchboard operator or in a similar customer service role within a healthcare or office environment.
- Multilingual or bilingual abilities are highly desirable to effectively communicate with diverse patient populations.
- Strong knowledge of Microsoft Office applications including Word, Excel, and Outlook.
- Excellent communication skills with an emphasis on phone call management and phone etiquette.
- Familiarity with office phone management systems, telephone systems, and multi-line phone operations.
- Ability to handle high call volumes efficiently while maintaining professionalism under pressure.
- Basic understanding of medical terminology is preferred but not mandatory; training will be provided if necessary.
- Demonstrated technical proficiency in telephony systems and typing skills for accurate record keeping.
