2. About the Opportunity:
The Specialist, Leaves Administrator will step into a highly critical, high-touch human resources and total rewards operations role, working in close partnership with the Senior Benefits Manager to oversee the entire life cycle of employee leaves of absence and complex disability cases. This position is responsible for ensuring absolute legal compliance with evolving statutory requirements while maintaining compassionate, clear communication channels between educators, school leadership teams, and regional HR groups. The role is vital to upholding operational continuity across school campuses, charging the specialist with maintaining precise benefits data integrity and driving strategic, leave-related programmatic enhancements.
3. Responsibilities:
• Take end-to-end operational ownership of employee leave and reasonable accommodation cases, tracking progress meticulously from initial request through to a successful return-to-work activation
• Maintain, audit, and optimize internal tracking architectures and human resources information systems (HRIS) to ensure leaves management perfectly mirrors state regulations and network policies
• Spearhead or actively contribute to cross-functional, special strategic projects aimed at elevating leave administration efficiency and the overall employee experience
• Serve as the primary supportive liaison for employees navigating leaves, executing highly clear and empathetic communication to facilitate a smooth, well-coordinated return to the classroom
• Proactively brief school principals and regional managers regarding employee leave statuses, operational impacts, and expected return timelines
• Administrate the full lifecycle of a diverse leaves portfolio, including Family and Medical Leave Act (FMLA), paid parental, medical, workers' compensation, short/long-term disability, Americans with Disabilities Act (ADA) accommodations, and military leaves
• Provide expert counsel to both leadership and staff regarding statutory leave laws and internal corporate policies governing paid time off and disability distributions
• Conduct regular compliance audits and recommend structural policy updates to guarantee the network remains fully compliant with shifting federal, state, and local labor laws
• Stay continuously educated on emerging statutory updates, legal precedents, and compliance landscapes surrounding FMLA, ADA, and regional leave mandates
• Partner closely with the payroll department to execute rigorous data audits, ensuring exact, compliant compensation calculations during active leave windows
• Coordinate seamlessly with external third-party administrators (TPAs) to streamline case management workflows and documentation processing
• Exercise absolute discretion, maintaining the rigid confidentiality of sensitive employee medical documentation in strict accordance with HIPAA and internal data privacy standards
4. Requirements:
• Possess deep, comprehensive subject-matter expertise across federal and state leave regulations, including FMLA, ADA, and related statutory time-off frameworks
• Prior professional experience managing multi-jurisdictional leave portfolios across varied state lines is highly preferred
• Exceptional interpersonal, verbal, and written communication capabilities paired with superior organizational habits
• Demonstrated ability to independently prioritize heavy case volumes and execute meticulous, timely follow-ups in a fast-paced setting
• High psychological maturity, demonstrating impeccable discretion and sound professional judgment when handling highly sensitive personal data
• Exceptional attention to detail combined with a foundational capability to manage independent administrative projects
• Working familiarity or direct experience navigating the specific employment and leave laws governing New York, New Jersey, and/or Massachusetts
• Technical proficiency operating within the Microsoft Office Suite and Google Workspace ecosystem
• Hands-on professional experience or workflow exposure operating within enterprise HRIS engines, specifically ADP and/or Workday
• Full structural flexibility and willingness to travel periodically to various school campuses across multiple operational regions
• Possession of an accredited Bachelor’s degree is required
• Active SHRM-CP or SHRM-SCP (or equivalent HR/benefits certification) is highly preferred
5. Pay Range and Compensation Package:
• Target baseline salary framework: Full formalized range spans $70,100 to $82,500 USD annually
• Market-calibrated onboarding target: The typical starting salary is positioned around $74,300 USD, with final placement within the broader tier dynamically evaluated based upon the candidate's specific jurisdictional expertise, HR credentials, and depth of leaves case management experience
