Position Summary

The Receptionist provides general office support with a variety of clerical activities and related tasks in a fast-paced environment. The Receptionist is the first point of contact for visitors to the Foundation and will be responsible for greeting all guests on the second floor and managing calls for the Foundation. As a hub for facility activity, the Receptionist will support a multitude of administrative activities.

Primary Job Responsibilities:

Greets and directs visitors to the Foundation, Resource Center, Volunteer Hub, Community Link and meeting room users. Visitors will include a variety of people, from community members, facility service providers to Board members.
Answers telephones and directs the caller to the appropriate staff member. Takes and retrieves messages for various personnel.
Sorts and forward incoming mail. Maintains and routes publications.
Supports the pick-up and delivery of express mail services (FedEx, UPS, etc.)
Assists in maintaining office environment, particularly in common areas by helping keep the spaces tidy and restocked.
Run office errands as needed.
Serves as back up for daily check log and deposits checks at bank.
Assists Office Manager with meeting room needs, set up and clean up according to reservation calendar.
Serves as backup for meeting reservations for Office Manager.
Assists in organizing catering for internal activities and meetings.
Assists with other related clerical duties such as photocopying, faxing, filing, collating and outgoing mailings as needed.
Interact with volunteers adhering to the guidance in the “Volunteers in the Workplace” document.
Other duties as assigned aligned with the Foundation’s strategic objectives.

Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and quality of work
Ability to work effectively independently and as a collaborative team member
Exceptional interpersonal skills, written and oral communication skills, a focused listener
Bilingual, Spanish preferred
Exhibit a positive attitude and professional demeanor
Ability to manage sensitive information appropriately and with discretion
MS Office skills – ability to handle basic editing in Word, maintain data in Excel, Outlook Calendar management skills and familiarity with Zoom Video Communications

Education and Experience Requirements:

Associates degree or equivalent work experience preferred
1-3 years of applicable experience
Experience in a foundation or nonprofit environment, preferred

This position requires the ability to perform a wide range of tasks throughout the day to include receiving guests and moving packages. This role will occasionally be tasked with organizing meeting rooms to include shifting tables and chairs, leading guests throughout the facility, organizing and stocking a variety of supplies. Must be able to to lift up to 20 lbs.
