This is a contract to hire opportunity with the strong possibility of becoming a permanent hire.

Position Overview

A leading organization in the Cambridge area is seeking a dependable and detail-oriented Receptionist/Administrative Assistant to support a senior-level finance team. This role offers a diverse range of responsibilities, including administrative support, front desk operations, office coordination, and event assistance. The successful candidate will serve as the first point of contact for visitors and staff, and will help ensure smooth day-to-day operations across multiple departments.

Key Responsibilities

Greet and assist visitors in a professional, friendly manner and maintain a welcoming reception area.

Respond to internal communications promptly (e.g., within 5 minutes via Slack or similar tools).

Collect, sort, and distribute mail and packages; interface with vendors and delivery services.

Assist with mailing processes including check stuffing, envelope sorting, and correspondence distribution.

Prepare domestic and international shipping labels and manage package deliveries (up to 30 lbs).

Maintain cleanliness and orderliness of shared spaces including meeting rooms, kitchen areas, and wellness rooms.

Monitor and replenish office and kitchen supplies; manage inventory and place orders as needed.

Maintain accurate records of seating assignments and updates.

Support internal recognition programs by coordinating gift distribution and communications.

Schedule meetings and assist with calendar management using Zoom and other tools.

Collaborate with other administrative staff to provide seamless support across departments.

Perform additional duties and special projects as assigned.

Qualifications

Required:

High school diploma or equivalent.

Minimum of 3 years’ experience in an administrative or office support role.

Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Zoom, and Slack (or similar tools).

Strong customer service orientation with excellent communication and interpersonal skills.

Ability to prioritize, meet deadlines, and work independently with minimal supervision.

Attention to detail and commitment to accuracy.

Willingness to learn new software platforms (e.g., Canva).

Discretion when handling sensitive or confidential information.

Punctuality, reliability, and the ability to lift up to 30 lbs.

Preferred:

Post-secondary education.

Previous experience in a university, nonprofit, or mission-driven organization.
