Provider Relations Specialist Jobs in Tallahassee, FL at Early Learning Coalition of Big Bend Region, Inc.

Do you enjoy building relationships, solving problems, and supporting programs that make a difference for children and families? We are looking for two dedicated Provider Relations Specialists to join our team. These positions play a vital role in supporting our School Readiness (SR) and Voluntary Prekindergarten (VPK) provider network by ensuring compliance, maintaining strong provider partnerships, and facilitating essential operational processes. One position will focus on contracts and provider monitoring, while the second will specialize in reimbursements and attendance processing.

Minimum Educational and Experience Requirements:

  • Bachelor’s or Associate’s degree and 2 years experience in private or public sector social/human services program administration required; or
  • High School diploma or equivalent and 4 years experience in social/human services program administration
  • General understanding of contract management and monitoring procedures preferred
  • Understanding of childcare programs, early childhood education, social service issues, community action programs, and serving low-income communities preferred

  • Excellent interpersonal skills to work independently, and collaboratively with colleagues, and others of varying backgrounds and skill levels to achieve program goals

  • Ability to manage multiple projects, follow through and meet deadlines
  • Ability to apply knowledge and understanding of regulations and ELC policies and procedures to assist in identifying and presenting facts of a situation to facilitate management decision making
  • Must exhibit a positive attitude and be an example to others in problem-solving, teamwork, interpersonal relationships, and commitment to the organization’s mission and vision

What You Will Do (Summary):

Primary Essential Job Duties and Responsibilities:

§ Coordinate SR and VPK provider contracting process, including renewals and amendments for new and existing providers

§ Complete and maintain accurate CCR&R provider profile updates and contract documentation in the approved statewide database

§ Coordinate with internal teams to determine QPS and child assessment performance and update SR contract accordingly

§ Review attendance records and assist providers with technical systems

§ Provide technical assistance on contract requirements and reimbursement issues through both remote and in-person support

§ Support compliance monitoring, corrective action, and probation processes, including tracking progress and implementing improvement plans

§ Prepare documentation for audits and DEL accountability reviews

§ Coordinate with the team responsible to review QPS and child assessment performance, and update School Readiness contracts as needed

§ Enter and update reimbursement rates and differentials in the approved data system

§ Conduct parent complaint intake and report to the Department of Children & Families (DCF) and the statewide Abuse Hotline; follow up on complaints

§ Assist in new child care provider recruitment and orientation

§ Prepare content and conduct School Readiness and VPK provider orientation

§ Participate in statewide calls, webinars, and rulemaking processes related to the School Readiness and VPK programs

Secondary Essential Job Duties and Responsibilities:

  • Process and review monthly attendance records for SR and VPK providers through the Portal

§ Review sign-in and sign-out sheets for accuracy and completeness

§ Provide remote and on-site technical support to existing and potential providers by assisting them with attendance, rules, and regulations, related reimbursement issues

§ Enter and update reimbursement rates and differentials in approved data system

  • Process, review, and reimburse monthly provider registration fees and match assessments; conduct financial analysis to assess impact on SR and VPK budgets

§ Coordinate attendance closeout and provider payment processes for SR and VPK in accordance with approved reimbursement policies

§ Conduct audits of provider payment processes to ensure compliance with reimbursement policies and financial regulations

§ Participate in a minimum of two ELC Outreach activities and/or events within the fiscal year

§ Ensure appropriate use of all resources by immediately reporting suspected internal and/or external fraud via established Fraud Reporting Procedure

Position: Full-time

Salary: $43,000 – $49,000 (depending on level and experience)
