Position Overview
We are seeking a professional and customer-focused Receptionist / Administrative Assistant to support a busy agency serving individuals with disabilities in the Providence area. This role serves as the first point of contact for clients, visitors, and callers while providing administrative and clerical support to agency staff.
The ideal candidate will possess strong communication skills, excellent judgment under pressure, and the ability to maintain a welcoming and professional environment.
Key Responsibilities
- Greet clients, visitors, and guests while maintaining a positive and professional public image.
- Answer, screen, and route incoming calls through a multi-line telephone system.
- Transfer calls internally and to outside agencies as needed.
- Provide accurate, authorized information regarding agency programs and community resources.
- Receive information from clients and direct inquiries to the appropriate personnel.
- Coordinate and maintain conference room reservations using Google Calendar.
- Maintain reception, conference, and meeting areas in an organized and professional manner.
- Provide clerical support including copying, filing, document preparation, and other administrative tasks.
- Utilize computer-based case management systems to retrieve information as needed.
- Collaborate with security and building personnel regarding visitor access and facility needs.
- Perform additional administrative and support duties as assigned.
Required Qualifications
- Previous experience in a receptionist, front desk, customer service, or administrative support role.
- Strong customer service and interpersonal communication skills.
- Ability to remain composed and exercise sound judgment in a fast-paced environment.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Experience managing calendars and scheduling appointments or meeting spaces.
- Strong organizational skills and attention to detail.
- Ability to handle confidential information professionally.
Preferred Qualifications
- Experience working in a human services, healthcare, nonprofit, or government setting.
- Familiarity with case management systems or client information databases.
- Bilingual Spanish language skills highly desired.
