ABOUT THIS ROLE
The Project Manager is a key partner to the Senior Advisor for Leadership Initiatives in launching, supporting, and sustaining a portfolio of leadership initiatives at the Aspen Institute. Their work will focus on operational execution, partnership engagement, fundraising, data optimization, and other growth strategy goals in support of the development and deployment of the Aspen Institute’s key leadership methodologies. In addition, the Project Manager will provide first-line support to the Senior Advisor on a variety of special projects – spanning the operational, administrative and strategic – given the lean nature of a two-person team.
This people-oriented, behind-the-scenes operator will be responsible for building trusted relationships and community both across internal Aspen Institute programs in pursuit of new ways of collaborating (e.g. communities of practices, learning exchanges, advisory pilots, etc.), as well as with our external community of Fellows, program participants, and moderators. Our ideal candidate will be able to proactively identify potential problems and solutions, wrangle data and technology to advance program missions, and embrace an entrepreneurial mindset for adaptable work in a changing environment.
Working collaboratively with many teams, the right candidate needs to be nimble and adaptable, as this role will change over time as new priorities emerge and the Institute’s leadership work evolves. The salary range for this role is $90,000 – $93,000. The expectation is for this role to be in our Washington, D.C. office a minimum of 2x a week to collaborate with colleagues.
WHAT YOU WILL DO
Operational and Program Management Support
Manage special projects as assigned by the Senior Advisor. Special projects will include, but will not be limited to research, drafting project plans and communications, event planning, and other initiatives.
Create, manage, and monitor processes for implementation of the workplan’s various priorities and workstreams.
Prepare reports, briefings, and presentations for donors and stakeholders, such as creating concept decks, creating summary materials etc.
Support the development and management of new tools, resources, and knowledge management systems; develop a process their use to increase the quality and effectiveness of our leadership methodologies across the Institute.
Partner with Senior Advisor to build and ensure strong program infrastructure and community engagement, internally and externally.
Apply event management knowledge to ensure seamless in-person and virtual meetings/gatherings as needed.
Contribute to exploring potential opportunities for the Leadership Initiative.
Provide administrative support for the Senior Advisor as requested, such as processing requests for payment and expense reimbursement, scheduling meetings, preparing meeting notes, drafting correspondence with stakeholders, budgeting monitoring etc.
Data, Systems, and Measurement
Maintain complete, organized, and relevant data through regular data backups, data loads and updates, and audits.
Facilitate list management and segmentation for accurate distribution lists, including bounce/unsubscribe management.
Serve as the primary POC for Salesforce and related tools, including FormAssembly, Conga, Campaign Monitor, and Pardot for the needs of the Senior Advisor.
Provide data-driven insights to inform Leadership Initiatives strategies that track back to programmatic KPIs.
Coordinate with the Aspen Institute’s central data services to maintain standards and protocols.
Cross-Institute and Network Relationship Building
Support the building of internal communities of practice to connect leadership initiatives across the Institute, including but not limited to event and meeting support.
Support relationships with key stakeholders that develop and utilize different leadership methodologies, especially moderator community and participant network.
Support the development of feedback loop and evaluation efforts to better assess, understand and learn from new pilots and ‘test and learn’ activities in pursuit of new undertakings and/or initiatives.
Additional projects, as assigned by the Senior Advisor.
WHAT YOU WILL NEED TO THRIVE
Minimum 5 years program management experience, ideally in a nonprofit environment.
Minimum 2 years of experience with Salesforce (admin certification preferred) or other CRM, experience with (or ability to quickly learn). FormAssembly, Conga Composer, HTML and mass email solutions such as Campaign Monitor preferred.
Ability to handle sensitive and confidential information with discretion.
Ability to effectively communicate verbally and in writing with all levels of the organization.
Cultural competence and experience working directly with constituents from diverse racial, ethnic, socio-economic, and geographic backgrounds.
Strong detail-orientation, analytical, and collaborative skills, patience and ability to excel at problem solving and design thinking.
Self-motivation and reliability, with a high capacity for independent work and strong follow-through.
Passion for helping people and programs achieve their goals and carry out their missions through strong relationship , program management, and system development skills.
Strong understanding of and enthusiasm for the purpose, mission, and work of the Aspen Institute.
