Summary
The Impact Project Coordinator supports the successful execution of impact-related projects across small-, mid-, and large-scale initiatives involving a diverse set of internal teams and external partners. This role is responsible for driving project deliverables forward by coordinating timelines, tracking budgets, managing documentation, and ensuring cross-functional alignment.
The Impact Project Coordinator serves as the internal operational backbone of impact projects, and proactively identifies risks, maintains project momentum, and escalates issues when necessary to ensure projects are delivered on time, within scope, and within budget.
This role works closely with relationship owners, the Sales and Training Manager, and internal departments, with direct guidance and support from the Director of Impact Operations.
Essential Functions
- Coordinate and support the execution of impact-related projects ranging from small to large scale, ensuring deliverables are completed on time, within scope, and within budget.
- Develop, maintain, and manage project timelines, work plans, trackers, and documentation across multiple concurrent projects.
- Coordinate internal efforts across departments (i.e. Impact, Marketing, Operations, Practice Advancement, Education, etc.) to ensure alignment with project commitments and deliverables.
- Track project budgets, monitor spend-down, and flag variances in collaboration with the Director of Impact Operations and the internal finance team.
- Proactively identify risks related to scope creep, timeline delays, resourcing constraints, and communication challenges; escalate issues appropriately, with context, and provide recommendations for resolution.
- Work with relationship owners to support external partner engagement by coordinating logistics, preparing materials, and tracking deliverables.
- Prepare agendas, meeting notes, action items, status updates, and any required reporting or evaluation summaries.
- Maintain organized, accurate project records and adhere to impact operations processes, contributing to process refinements as needed.

- Proactive problem-solving skills and sound judgment regarding when to escalate risks or issues.
- Ability to collaborate effectively with differing roles, priorities, and working styles.
- Comfort working with Microsoft 365 products (Excel, SharePoint, Outlook, etc.) and project management tools, including Asana.

Required Education & Experience
- Bachelor’s degree or equivalent professional experience in any field.
- 1–3 years of experience in a project coordination, operations, or project support role.
- Demonstrated experience managing timelines, tracking deliverables, and supporting project budgets.
Preferred Education & Experience
- Experience working in a nonprofit, association, healthcare, education, or mission-driven organization.
- Familiarity with cross-functional project environments involving external partners.
- Experience supporting social impact, training, workforce development, or partnership-based initiatives.
Additional Requirements
- Ability to manage multiple projects simultaneously while maintaining attention to detail and accuracy.
- Comfort working within defined scopes and taking direction from senior project or operations leadership.
- Proficiency with common business and project management tools (e.g., Microsoft Office, project trackers, shared documentation platforms).
- Ability to work independently while remaining closely aligned with manager guidance and team priorities.
Work Schedule & Environment:
- This is a full-time remote position. Team members must have a reliable internet connection and be available during core business hours.
- Some flexibility in schedule may be required to meet organizational needs across time zones.
- Occasional travel (up to 1–2 times per year) may be required based on organizational needs and key events.
- The position requires extended periods of computer use in a home-office environment. The organization provides access to necessary software and systems; employees are responsible for maintaining a professional workspace and reliable connectivity.
- The team collaborates primarily through virtual tools (e.g. Teams, Asana, etc.); regular participation and prompt communication are expected.
Compensation & Benefits:
- This is a full-time, exempt position.
- Salary range: $47,000–$52,000, commensurate with experience and qualifications.
