Job Posting Description
The Department of Pediatrics Project Coordinator II will:
Coordinate interdivisional projects working with the Senior Program Manager involving safety and quality and strategic planning.
Assist clinical pathways in the bi-annual review process and develop new clinical pathways under Quality Improvement Consultant (QIC) guidance.
Manage calendars for the Department of Pediatrics (DOP) program inbox and calendar.
Manage and schedule meetings for multiple workgroups within the department of pediatrics. Attend, prepare, send agendas, and take meeting minutes for monthly meetings.
Maintain and update Safety and Quality Improvement Dashboard based on QIC need; attending monthly meetings and creating new pages as needed.
Attend project working group meetings and/or help with development and finalization of QI Tools (e.g. process maps, fishbone diagrams, driver diagrams, etc.) depending on the need of the QIC
Maintain log of DOP, QI, and Clinical Pathways action items. Connect with owners of tasks based on due dates.
Collect and collate list of grants and publications, update external collaboratives list, and update registry list.
Send team communications for quarterly newsletter, team celebrations, conference information, and other communications as needed.
Collate list of conference abstract submissions and acceptances annually. Assist with editing posters and presentations as needed.
Submit reimbursements for team expenses, place orders for team equipment and needs, and order catering for events.
Assist DoP QI leadership with special projects and requests as needed
To qualify you must have:
Bachelor’s Degree required, Master’s Degree preferred in a health related field.
At least one to two years’ experience in an administrative support role and/or projects related role.
The ability to effectively coordinate the activities of employees within assigned unit/department.
Technically competency with various software programs including Word, Excel, Powerpoint. Familiarity with project management software is preferred.
