POSITION: Project Coordinator
STATUS: Part-Time. 24-28 hours per week, with the possibility of expanded hours based on CALED needs
LOCATION: Sacramento, CA. Current work from home policy allows for candidates interested in a hybrid of working from home, with at least one day required in the office. This is subject to change.

The California Association for Local Economic Development (CALED) team is a small group of professionals who get a tremendous amount of work done! We have a fast-paced office where most team members work on a variety of projects and are required to balance multiple deadlines and prioritize projects and tasks. Over the past several years, CALED and our two affiliate organizations are growing, and we are achieving major milestones in supporting economic development professionals and promoting the value of economic development. As a membership association, our members are at the heart of everything we do. We want to add a Project Coordinator to our team who, among other tasks, can help us continue our current momentum by maintaining and strengthening our relationships with our members. The coordinator is expected to engage with members regularly by building relationships with existing members and recruiting new ones, utilizing the membership database to track information.

The Project Coordinator will need to focus on quality and attention to detail, adhere to high standards for the quality of their work, have excellent problem-solving and analytical skills, and have excellent written and verbal communication skills. About CALED:
The California Association for Local Economic Development (CALED) is the premier statewide professional economic development organization dedicated to advancing its members’ ability to achieve excellence in delivering economic development services to their communities and business clients. CALED’s membership consists of public and private organizations and individuals involved in economic development: the business of growing local economies by helping businesses thrive. We do this through managing three organizations: CALED, The California Academy for Economic Development (the Academy), and the California Enterprise Development Authority (CEDA). We collectively refer to these as CALED and our affiliates.
JOB DESCRIPTION
Summary
Under the direction of CALED’s Operations & Database Manager, the Project Coordinator will be responsible for supporting the maintenance of CALED’s membership outreach and operations, coordinating board meetings on behalf of CEDA, and other duties as assigned related to the variety of economic development programs we support.
Specific Responsibilities
Membership Duties
- Become proficient in membership software
- Support Operations Manager in delivering CALED’s membership program, including by helping plan goals/objectives for CALED’s membership retention, recruitment, communications, and identifying and implementing strategies required to attain the end results.
- Manage member relations through providing new member welcomes, board welcomes, answering questions, and conducting regular outreach.
- Conduct research to fill Vacant Memberships.
- Follow up on past due invoices.
- Day-to-day updating of member record changes, data entry in membership database.
- Run various membership reports, including segmentation of membership types, regions, and special designations.
- Problem solving and reporting/documentation associated with those activities.
- Assist with biannual membership dues invoicing and annual membership mailing processes.
- Other duties as assigned.
California Enterprise Development Authority (CEDA)
· Assist with CEDA operations by compiling Board Meeting Agendas and Agenda Packets, taking meeting minutes, and confirming board meeting quorums.
· Update the CEDA website as needed.
· Other duties as assigned.
Other
- Support CALED’s Annual Conference as needed
o Assist Operations & Database Manager with Awards of Excellence program
- Support CEO with special awards and one-off events
CALED Team Member Duties
· Develop and maintain effective working relationships with staff
· Identify potential new opportunities or areas of improvement to improve or modify programs for the benefit of CALED members and make recommendations
· Provide effective customer service to members
· Communicate clearly and concisely, both verbally and in writing
· Attend trainings, conferences, and staff meetings as requested
· Perform tasks with proficiency and professionalism within designated timelines and parameters
· Some in-state travel required (10%)
· Other duties as assigned
Candidate Preferred Qualifications and Experience
· 3 + years of progressively responsible experience in a non-profit or small business office environment with demonstrated membership experience
· Accurate data entry skills
· Demonstrated knowledge of effective Customer Relationship Management processes
· Understanding of non-profit culture
· Strong knowledge/proficiency of membership or relevant software database programs; experience with Your Membership software a plus
· AI experience and/or willingness to learn and implement AI tools
· Commitment to professional growth
Minimum Qualifications and Experience
· Ability to work in a fast-paced environment
· Attention to Detail
· Effective time management and team building skills
· Proficiency with Mac computers/software; Microsoft PowerPoint, Excel, and Word
· Comfort with databases
· Familiar with collecting and organizing data
· Ability to exercise good judgement and critical thinking skills
· Proven self-starter
· High school diploma or equivalent GED. College, apprenticeship, or technical training certificates are a plus.
Salary and Benefits:
CALED offers a competitive salary, commensurate with experience, and a comprehensive benefit package based on the benchmarks established in the Fair Pay for Northern California Nonprofits Compensation & Benefits Survey Report.
Part time: Salary range is between $30-$35 per hour with 24 hours of sick time available and $750 health and wellness benefit annually.
