Position Summary
This is a full-time on-site role for a Project Assistant located in Nassau. The Project Assistant will support the effective implementation of ORG’s outreach and organizational initiatives by providing logistical, administrative, and coordination support to both the Senior Outreach Manager and Senior Manager, Organizational Development and Operations. The Project Assistant will play a vital role in helping ORG achieve its mission of promoting active citizenship and governance reform in The Bahamas through hands-on support across projects, events, stakeholder engagement, and reporting processes.
Qualifications
Associate’s Degree or higher in a related field (e.g., Public Administration, Project Management, Nonprofit Studies), preferred
1–2 years of relevant experience in administrative or program support
Strong organization and time management skills
Comfortable engaging with diverse stakeholders and the general public
Familiarity with Web Development and/or WordPress is a plus
Excellent written and verbal communication skills
Ability to work collaboratively across teams
Flexibility to work some evenings, weekends, and travel to Family Islands when required
Proficiency in Microsoft Office and Google Workspace
CRM/database familiarity is a plus
Duties and Responsibilities
Outreach & Stakeholder Engagement Support
Under the direction of the Sr. Manager, Outreach:
Support the with planning and coordinating presentations, consultations, and community events for relevant projects and campaigns
Assist with coordinating logistics for outreach events including Freedom Fridays, Freedom Schools, and public town halls
Help prepare and organize outreach materials, presentations, and follow-up communications
Track engagement data and maintain accurate records in ORG’s outreach database
Support volunteer and participant recruitment, onboarding, and communication.
Assist in gathering photos, stories, and reports to be used by the Communications team
Under the direction of Sr. Manager, Organizational Development and Operations:
Mapping & Research Project Support
Assist with outreach to NPOs and FBOs across The Bahamas
Help schedule surveys, coordinate communication with research participants, and assist with data entry
Provide support to consultants and partners involved in the “Mapping the NPO and FBO Sector” initiative, as needed
Organizational Operations Support
Under the direction of the Senior Manager, Organizational Development and Operations
Assist with coordinating work plans, strategic initiatives, and tracking of project deliverables
Provide support in documenting team meetings, project schedules, and activity updates
Help compile expense documentation and support financial tracking for organizational and project budgets
Assist in maintaining project files, internal systems, and in preparing reports and presentations
Support the implementation of ORG’s Monitoring & Evaluation (M&E) plan through data entry and tracking progress toward KPIs
Other Responsibilities
Support other ORG activities and campaigns as needed
Administrative Procedures
Attend weekly check-in with the Senior Outreach Manager
Attend weekly check-in with Senior Manager, Organizational Development and Operations
Participate in regular team meetings
Attend quarterly ORG Council meetings
