Job Summary: The Programs Associate provides administrative and program support to the Programs Department, with primary responsibility for coordinating Volunteer Services. Approximately 60% of the position is dedicated to volunteer recruitment, scheduling, communication, and engagement, while the remaining 40% supports community food assistance programs, agency relations, client assistance, and departmental operations.

Duties/Responsibilities:

  • Assist the Volunteer Services Manager daily supporting volunteers.
  • Recruit, schedule, and coordinate individual and group volunteers for warehouse operations, mobile food distributions, rural distributions, special events, and community projects.
  • Assist maintaining the volunteer calendar and communicating schedules, event details, and volunteer opportunities.
  • Coordinate volunteer registration, waivers, and recordkeeping.
  • Conduct volunteer orientations and assist with training organizational policies, safety procedures, and volunteer expectations.
  • Welcome volunteers and ensure they have a positive and meaningful experience while serving.
  • Maintain volunteer service records, track volunteer hours, and prepare monthly and annual reports.
  • Coordinate volunteer recognition and appreciation activities.
  • Build relationships with schools, churches, civic organizations, businesses, and community groups to expand volunteer engagement.
  • Promote volunteer opportunities through community outreach and collaboration with the Communications Department.
  • Answer incoming phone calls and provide exceptional customer service to clients, volunteers, partner agencies, and community members.
  • Assist clients by providing information about food assistance programs, distribution schedules, eligibility requirements, and available community resources.
  • Assist clients with completing TEFAP (The Emergency Food Assistance Program) applications, ensuring accuracy and compliance with program guidelines.
  • Support food distributions, TEFAP and CSFP recertifications, community outreach events, and partner agency meetings.
  • Maintain partner agency records, eligibility documentation, compliance files, and departmental records.
  • Assist with scheduling partner agency trainings, compliance visits, and meetings.
  • Collect, compile, and maintain volunteer and program data for reporting purposes.
  • Prepare correspondence, reports, spreadsheets, presentations, and other administrative documents.
  • Maintain organized electronic and paper filing systems.
  • Provide administrative support for departmental projects and perform other duties as assigned.

Qualifications:

· Bachelor’s degree (preferred)

· 3 to 5 years’ experience in administrative support, and/or volunteer services.

· Non-profit or Social Services experience (preferred).

· Bilingual (English/Spanish preferred) to effectively assist a diverse client population.

Travel Requirements:

· Up to 25% of the time is travel

Physical Demands:

· Most functions are performed while seating at a desk or standing up

· Individual will need to stand for longer periods.

· Ability to lift up to 30 lbs.

Work Schedule:

· Monday—Thursday; 8:00—5:30 and Friday 8-12

· Weekends and evenings when necessary.
