Job Overview

We are seeking a dynamic and dedicated Program & Volunteer Coordinator to oversee the distribution of food to eligible agencies and households in accordance with program requirements, and the development, coordination, and management of volunteer activities. This role offers an exciting opportunity to foster meaningful connections with partners throughout northwest Minnesota, manage volunteer recruitment and activities, and ensure the successful delivery of impactful programs. Responsibilities

  • Maintain and oversee the day-to-day relations between administrators, program sites and clients;
  • Screen new clients for eligibility. Review existing client eligibility. Oversee the completion of all applications and forms.
  • Collect all relevant data as needed for distribution and reporting.
  • Create annual monitoring schedule for distribution sites, and monitor as required.
  • Maintain information and update database and hard copy files;
  • Coordinate the distribution of all program products.
  • Complete all required reporting forms. Maintain all required records. Prepare monthly reports.
  • Work cooperatively with the warehouse team to ensure timely and efficient distribution of services and products;
  • Recruit and manage volunteers. Create a fun and positive environment and culture that encourages recurring volunteers and awareness of our work.
  • Control a continuous program inventory system and maintain a written accountability log. Produce related reports. Assist in various duties pertaining to maintaining accurate program inventory;
  • Conduct tours for visitors and volunteers upon request.
  • Attend community events, campaigns, fairs and other appropriate events to communicate volunteer opportunities and to provide information about North Country.
  • Provide customer service related to all functions;
  • Perform other duties as assigned.

Skills

  • Experience with database management systems for tracking program and volunteer data.
  • Excellent communication and conflict resolution skills;
  • Valid driver’s license;
  • Ability to stand and walk for a minimum of eight hours, and repeatedly lift and carry up to 50 lbs;
  • Knowledge of standard office management practices and procedures, including reception, record keeping, prioritization of work and the use of standard office equipment, including computers and related programs, including Microsoft Office (Word and Excel) and Access;
  • Ability to organize work, set priorities, exercise independent judgment, and balance the needs of various programs and staff;
  • Ability to coordinate multiple projects and adhere to deadlines in a fast-paced environment.
  • Maintain accurate records, researching and compiling data and preparing records;
  • Ability to understand and work with the diverse dynamics of the non-profit/social service and religious/charitable sectors in northwest Minnesota;
  • Must have strong problem solving skills in a team approach;
  • Must exhibit a professional demeanor and respect of others’ opinions and participation.
  • Strong organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail.
  • Excellent written communication skills for creating reports, training materials, and outreach content.
  • Skilled in project management tools and techniques to plan, execute, and evaluate programs successfully.

Pay: $22.00 – $25.00 per hour
