Job Summary

The Program Support Specialist plays a key role in supporting the MATCH program and the Baltimore City Department of Social Services (BCDSS). This position coordinates medical and dental appointments for children in foster care, ensuring timely scheduling, documentation, and follow-up with healthcare providers. Key responsibilities include maintaining accurate case records in internal systems, managing communications, and serving as a liaison between healthcare providers, social services, and the clinical team. The role also includes general administrative support to help ensure smooth day-to-day operations of the MATCH program.

Duties and Responsibilities

Administration

  • Schedule medical, dental and other specific exams for children in out of home placement/foster care for the youth in the Baltimore City Department of Social Services (BCDSS)
  • Communicate with key stakeholders to facilitate healthcare coordination
  • Provides information that is culturally competent and responsive to the diverse socioeconomic needs of the client population
  • Perform clerical duties for the MATCH Management Staff

Documentation

  • Verify completion of medical and dental appointments and collect relevant documentation from health care providers.
  • Support the MATCH clinical team by requesting supporting documentation, managing incoming calls and maintaining records in the Program’s database

Data Management

  • Maintain and update MATCH and funder program databases
  • Access and update case related information using the HealthCare Access Maryland and BCDSS database

Human Resources

  • Timely and accurately submit timesheets.
  • Complete all required training by HCAM and funders.

Additional duties and responsibilities:

  • Additional duties as assigned.

QUALIFICATIONS:
Education, Experience, Certifications and Licensures:

  • High School Diploma or GED with significant human services experience; associate or bachelor’s degree preferred
  • 2 years of experience working in an administrative support capacity with a multidisciplinary team. Experience working within substance abuse recovery population preferred.
  • Reliable transportation required.

KNOWLEDGE, SKILLS & ABILITIES

  • Strong computer literacy skills, specifically with MS Word, Excel, Outlook and SharePoint (365) and Google Suite.
  • Organizational skills with the ability to meet a demanding workload
  • Detail oriented to complete requirements of files and contract compliance.
  • Sensitivity to cultural and socioeconomic characteristics of population served.
  • Excellent oral and written interpersonal and communication skills required
  • Problem solving skills
  • Proven ability to work efficiently and meet deadlines
  • Familiarity with foster care, child welfare, or healthcare systems a plus
  • Commitment to maintaining confidentiality and handling sensitive information appropriately
