About the Opportunity

The Program Operations Associate plays a central role in supporting the organization’s Program division by coordinating operations, managing project workflows, and maintaining administrative systems. This position works across multiple program areas, including AmeriCorps and Department of Labor (DOL) initiatives, ensuring projects remain organized, compliant, and on schedule.

The role also supports cross-functional collaboration, event coordination, operational improvements, and responsible use of AI productivity tools to enhance organizational efficiency.

Responsibilities

  • Provide administrative, operational, and project coordination support across multiple program departments, including DOL Program Impact, AmeriCorps Compliance, and Global Network Engagement.
  • Track project deliverables, timelines, grant requirements, and contract milestones to ensure timely completion.
  • Coordinate cross-functional workflows, calendars, meetings, and internal communications.
  • Maintain centralized documentation, shared files, databases, and operational tracking systems.
  • Support compliance with federal grants, contracts, and program requirements.
  • Serve as an operational point of contact across program teams to coordinate priorities and resources.
  • Assist with onboarding new staff and support knowledge sharing and process improvements.
  • Improve recurring operational processes, reporting, dashboards, and team workflows.
  • Manage Microsoft 365 collaboration tools, including Excel, SharePoint, Teams, and Planner.
  • Analyze operational processes and recommend workflow improvements.
  • Coordinate logistics for in-person, virtual, and hybrid meetings, conferences, trainings, and events.
  • Manage vendor coordination, participant communications, presentation materials, and event execution.
  • Track attendance, compile evaluation data, and coordinate post-event follow-up activities.
  • Utilize AI productivity tools responsibly while maintaining data security and organizational policies.
  • Document and share effective AI workflows and best practices with internal teams.

Requirements

  • 2–3+ years of experience in nonprofit operations, program coordination, federal grant administration, or executive support.
  • Experience supporting multiple teams or managing concurrent projects in a fast-paced environment.
  • Strong organizational, project management, and multitasking skills with exceptional attention to detail.
  • Experience planning and coordinating conferences, trainings, webinars, or large-scale events.
  • Proficiency with Microsoft 365, including Excel, SharePoint, Teams, and Planner.
  • Experience with project management and workflow tracking tools.
  • Interest in learning and responsibly using AI productivity tools.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong analytical, problem-solving, and organizational abilities.
  • Ability to prioritize competing deadlines while working independently.
  • Collaborative mindset with strong relationship-building skills.

Pay Range & Compensation

  • $55,000 – $65,000 USD annually
  • Final compensation is based on experience, nonprofit operations background, federal grant experience, and technical qualifications.
