Position Overview:
ACTS Career Center is seeking a highly organized and proactive Executive Assistant to provide
comprehensive administrative and operational support to the Executive Director. This role is
essential in ensuring the smooth functioning of the organization’s daily operations, facilitating
effective communication, and assisting with various programs and projects. The Executive
Assistant will be the primary point of contact for internal and external communications and will
provide assistance with scheduling, meetings, event coordination, and general office
management.

Key Essential Functions:

Administrative Support:

o Assist in scheduling and coordinating meetings for the Executive Director,
ensuring all logistical details are arranged, including Zoom links, reservations,
appointments and gathering meeting materials.
o Prepare meeting packets by collecting and organizing relevant information.
o Attend meetings as necessary, providing administrative support, including taking
minutes and distributing meeting notes.

Event and Program Support:

o Assist with the planning, preparation, and on-site support for job fairs and other
events hosted by ACTS Career Center.
o Manage various projects and provide assistance to ensure timely completion of
tasks.
o Ensure precise detail to the distribution of participant stipends working closely
with the ION Program team members.
o Ensure detailed reporting is completed and submitted in a timely manner.

Communication and Coordination:

o Serve as the first point of contact for all incoming phone calls, ensuring
professional telephone communication and maintaining a positive office image.
o Ensure all inquiries regarding the ION program are managed appropriately and
responded to in a timely manner.
o Monitor and manage the ACTS Career Center’s inquiry email account, directing
inquiries to the appropriate staff members or consultants.
o Handle incoming and outgoing mail and packages, coordinating delivery and
pick-up logistics.

Office Operations:

o Maintain organized records and databases, ensuring information is updated and
easily accessible.
o Ensure efficient office operations and support the Executive Director in
administrative duties as needed.

Required Knowledge, Skills, and Abilities:

A minimum of three years of experience in administrative support or office

management is required.

Strong problem-solving and time-management abilities; must be able to prioritize tasks

effectively in a fast-paced, dynamic environment.

Professional verbal and written communication skills with the ability to interact with

individuals at all organizational levels.

High proficiency with Microsoft Office Suite and/or familiarity with Mac-based software

and hardware systems.

Excellent interpersonal and customer service skills; a team player with the ability to

work independently.

Ability to handle confidential information with discretion and professionalism.
Strong attention to detail, with the ability to execute tasks with accuracy, consistency,

and efficiency.
