Position Overview The Program Assistant plays a vital role in supporting the day-to-day operations and mission-driven work of The Partnership for West Side High School. Reporting directly to the Program Director, this full-time, in-person position ensures smooth administrative operations, supports program development and implementation, and contributes to communication and outreach efforts. The Program Assistant will help coordinate events, maintain internal records, assist with research and data collection, and support budgeting processes. This is an ideal role for someone who is organized, proactive, and passionate about education and youth development.

This position requires onsite work in The Partnership’s Newark, NJ office, with occasional evening hours and offsite travel for meetings, events, or site visits.

The anticipated start date for this role is July 1, 2025.

Key Responsibilities

Administrative Support & Office Coordination

● Provide administrative support to the Program Director and team, including scheduling, meeting preparation, and correspondence.

● Maintain organized records, files, and databases (digital and physical).

● Manage incoming and outgoing communications, including email, phone calls, and mail.

Program Development & Implementation

● Assist with the planning and execution of student-focused initiatives such as college readiness workshops, workforce training programs, and community events.

● Track program milestones and deliverables to ensure timely progress.

● Prepare materials, documents, and presentations to support program activities.

Event Planning & Communications

● Coordinate logistics for meetings, student events, workshops, and community engagement activities.

● Develop and distribute communication materials such as flyers, newsletters, and email

outreach.

● Maintain positive relationships with students, families, partners, and vendors.

Research & Data Collection & Budget Monitoring

● Conduct basic research and gather data to inform program strategy and evaluation.

● Compile reports and summaries on program outcomes and organizational metrics.

Qualifications

● Bachelor’s degree required.

● 2 years of experience in program coordination, nonprofit administration, or office management preferred.

● Excellent written and verbal communication skills, with the ability to draft professional emails, reports, and other materials.

● Ability to multitask, prioritize, and work collaboratively in a fast-paced environment.

● Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools.

● Professionalism, attention to detail, and discretion in handling sensitive information.

● Passion for youth development, education, and community impact.

Compensation & Benefits

● Salary range: $55,000–$65,000, commensurate with experience and qualifications.
