Under the direction of the Operations Manager, the Program Assistant is responsible for supporting programs through client record retention, fee collection, reporting, petty cash management, invoice reconciliation, supply ordering, event coordination, and assisting in program operations to serve veterans effectively.

Responsibilities:

Maintain and oversee central databases of clients and program information, ensuring compliance with grant systems.

Support the Case Management department in maintaining files, preparing for audits, and correcting deficiencies.

Manage program rents, including providing receipts, maintaining rent worksheets and waivers, and reporting to staff.

Reconcile and deposit cash, money orders, and checks received from donations or revenue sources.

Monitor and manage supply inventory, coordinate purchases, and track expenses and vendor balances.

Coordinate with staff for supportive service funds to meet client needs.

Assist with accounting functions, deposits, and expenses, coordinating with Accounts Payable.

Support grant applications, reports, budgets, and billing processes.

Record contributions and maintain a database of contributors for outreach.

Coordinate shipping, mailings, and track receipt of donations and products.

Plan events for donors, partners, clients, and staff.

Assist with client screenings, eligibility assessments, and orientation activities.

Support HR activities, including posting positions, pre-screening, scheduling interviews, and tracking evaluations.

Assist with staff training coordination and payroll allocations.

Maintain and update the Operations Manual and organizational policies.

Provide confidential support to management and staff.

Perform other duties as assigned.

Qualifications

Requirements:

Bachelor’s Degree in Social Services, Accounting, Non-Profit Management, or related field; relevant experience may substitute for a degree.

Proficiency in Microsoft Office and strong computer skills.

Highly organized with attention to detail.

Ability to work independently and responsibly.

Excellent oral and written communication skills.

Knowledge of veteran issues, homelessness, and local services is a plus.

Enthusiasm, positive attitude, teamwork, flexibility, and creativity.

Ability to listen, follow directions, and make sound decisions.

Ability to organize and implement short-term and long-term projects.
