JOB SUMMARY
The Part-Time Administrative & Database Assistant plays a critical role in supporting the Foundation’s fundraising, operations, and external engagement efforts. This position is responsible for maintaining accurate donor records, supporting gift processing and acknowledgments, and providing administrative coordination for development activities, board engagement, and events.
This is a highly detail-oriented role requiring strong organizational skills, discretion, and the ability to manage multiple priorities. The ideal candidate is both systems-minded and service-oriented, ensuring the Foundation’s internal operations run smoothly while supporting a high-quality experience for donors, board members, and partners.
ESSENTIAL DUTIES AND RESPONSIBILITIES Database & Gift Management
- Maintain and update donor and constituent records in Raiser’s Edge
- Accurately process gift data in a timely manner
- Generate donor acknowledgments, tax receipts, and correspondence
- Ensure data integrity through regular audits, deduplication, and record management
- Run reports to support fundraising, board reporting, and strategic decision-making
Administrative Support
- Provide administrative support to the CEO and Development team
- Coordinate scheduling, meeting logistics, and materials for donor meetings
- Prepare briefing documents, contact lists, and follow-up communications
- Support internal tracking of development activities, deadlines, and deliverables
Event & Campaign Support
- Assist with planning and execution of fundraising events and campaigns
- Support invitation tracking, RSVP management, and post-event follow-up
- Coordinate materials and logistics in collaboration with internal staff and vendors
Additional Support Responsibilities
- Provide occasional front-line customer service support in the Dyna Store or Membership Desk on an as-needed basis, such as during staff absences or peak operational periods
- Greet and assist visitors in a professional, welcoming manner, answering questions about memberships, programs, and offerings
- Process transactions using point-of-sale systems and support membership sales as needed
- Represent the Foundation positively in a public-facing capacity, ensuring a high-quality visitor experience
QUALIFICATIONS
- Bachelor’s degree or equivalent combination of education and experience
- Minimum of 3 years of relevant administrative, database, or development support experience
- Experience with Raiser’s Edge strongly preferred
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Strong attention to detail and commitment to accuracy
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to handle confidential information with professionalism and discretion
- Demonstrated ability to manage multiple priorities and meet deadlines
PREFERRED ATTRIBUTES
- Experience in nonprofit development or fundraising environments
- Familiarity with donor databases and reporting

WORK SCHEDULE
This is a part-time position with flexible scheduling based on organizational needs. Occasional evening or weekend hours may be required to support events.
