Full Job Description
Title: Part-Time A/P & A/R Associate
Department: Accounting/Finance
Reports to: Staff Accountant
Position Type: Part-time, hourly
Job Summary:
The Part-Time Accounts Payable Associate is responsible for supporting day-to-day A/P functions, including invoice processing, credit card reconciliation, and vendor communication. This role plays a key part in maintaining accurate financial records while working up to 20 hours per week in a flexible and supportive environment.
o Responsibilities/Essential Functions:
Process vendor invoices accurately and in a timely manner
Verify and reconcile invoice discrepancies
Classify and post credit card transactions; ensure all receipts are properly captured and matched
Communicate with vendors regarding payment status and resolve inquiries
Assist with monthly close and A/P reporting
Maintain organized and up-to-date records
Request store change orders through the bank as needed
Enter Account Receivable invoices and send to customers timely
Follow up on outstanding Accounts Receivable balances from wholesale customers
Support the accounting team with other tasks as needed
o Required Skills and Qualifications:
1+ year of accounts payable or general accounting experience
Experience with QuickBooks Online
Familiarity with classifying credit card transactions and managing receipt documentation
Strong organizational skills with a keen eye for detail
Ability to manage time effectively and meet deadlines with minimal supervision
Solid understanding of basic accounting principles
Comfortable working in Excel and using cloud-based accounting tools
Clear and professional written and verbal communication skills
Dependable, trustworthy, and able to handle sensitive financial information confidentially
o Preferred Qualifications:
Experience working in a retail or multi-location business environment
Prior experience using platforms like Order.co, Expensify, or similar expense management tools
Knowledge of basic internal controls and A/P best practices
Experience communicating with vendors or banks to resolve issues
Associate’s degree or higher in accounting, finance, or a related field
o Computer Preferred Qualifications:
QuickBooks
Microsoft Office / Particularly Excel
Ability to learn new software as implemented
o Physical and Emotional Requirements:
Emotional intelligence: self-awareness, self-management, social-awareness, relationship management, tact, diplomacy
Must be able to sit for long periods of time, 8 – 10 hours multiple days in a row
Must be able to present complex information to groups of people
Must be able to be physically present in the administrative office
Ability to handle high stress situations, ambiguity and changing priorities
Must be able to tolerate a reasonable amount of work stress
Compensation/Hours:
Compensation – DOE; 20 hours a week. Required Mon – Fri, some weekends and holidays
