The AI Safety Foundation (AISF) is a Canadian charity working to increase awareness of AI's catastrophic risks in a scientific and solutions-oriented manner.

We are a small, growing organization with an engaged board, active volunteers, and an expanding portfolio of public education, research, and communications initiatives.

Our major projects include The Hinton Lectures, a public lecture series bringing leading thinkers on AI safety and governance to broader audiences, and the CJF Hinton Award for Excellence in AI Safety Reporting, which supports thoughtful, evidence-based reporting that raises awareness of catastrophic risks associated with AI, fosters public understanding, and encourages dialogue on creating a safer future for humanity.

Summary

We are seeking a highly organized and reliable Operations Officer who wants to help build a growing Canadian charity working on one of the defining issues of our time. In this role, you will help strengthen AISF's operational, governance, project coordination, event, and financial administration capacity as we scale.

This is a part-time role for someone who wants to contribute to AISF’s mission while helping build the operating backbone of a growing organization. You will help keep people, projects, meetings, documents, events, and follow-ups on track while working closely with the CEO, board, volunteers, and external partners.

The right candidate will be comfortable in a small, mission-driven organization where priorities can shift, responsibilities can evolve, and sound judgment matters.

Role Details

Location: Toronto / Greater Toronto Area. This is a primarily remote role, but it requires occasional in-person availability in Toronto for AISF events and related preparation.

Type: Part-time, fixed-term employment.

Term: Initial 12-month term, with strong potential for renewal. 

Time commitment: Approximately 2 days/week. 

Compensation: $25,000 – $30,000 annually, plus 4% statutory vacation pay, depending on experience. 

Reports to: CEO.

What You'll Work On

As Operations Officer, you will work directly with the CEO and board to help keep AISF organized, responsive, and moving. Your work will span:

  • Projects and events: supporting planning and coordination for The Hinton Lectures, AI Safety Week, and other AISF initiatives.
  • Meetings and governance: coordinating scheduling, agendas, materials, minutes, resolutions, records, and follow-up.
  • Finance administration: liaising with AISF's bookkeeper, organizing invoices and receipts, tracking expenses, and supporting clean financial records.
  • Inbox and document management: helping triage operational emails, routing items to the right people, maintaining records, and keeping internal files organized.
  • Grant and sponsor reporting: gathering and organizing the financial, operational, and project information needed for funder and partner reporting.
  • General operations: preparing briefing notes, summaries, task lists, coordination emails, and other materials that help a small organization run well.

Who You Are

You are a dependable operator who enjoys bringing order to moving parts. You are comfortable following through on details, managing recurring processes, and helping busy people stay aligned.

You do not need to be an AI safety expert. But you should have a genuine interest in AISF’s mission and be comfortable working around topics such as artificial intelligence, technology governance, public policy, philanthropy, and nonprofit work.

You are likely someone who:

  • Keeps track of details without losing sight of the broader goal
  • Communicates clearly and concisely in writing
  • Follows up consistently and tactfully
  • Handles confidential or sensitive information with discretion
  • Knows when to take initiative and when to escalate
  • Is comfortable working independently
  • Can support both structured recurring processes and ad hoc needs

Relevant Experience

We are especially interested in candidates with experience in one or more of the following areas:

  • Operations, administration, executive support, or project coordination
  • Governance coordination, board support, or meeting management
  • Finance administration, invoice tracking, expense management, or bookkeeping coordination
  • Event coordination, speaker programmes, public lectures, conferences, or nonprofit programmes
  • Document management, inbox triage, records management, or stakeholder coordination
  • Grant, sponsor, donor, or partner reporting support
  • Clear written communication, including notes, summaries, briefing materials, and coordination emails

Formal accounting credentials are not required. Nonprofit experience is an asset, but not a requirement.

Additional Assets

We would also value experience or familiarity in any of the following areas:

  • Experience supporting public events, lectures, conferences, or speaker programmes
  • Experience working with senior stakeholders, boards, committees, academics, funders, or external partners
  • Experience supporting communications work, such as newsletters, outward-facing materials, website copy, or social media
