About the Role
The Operations Manager (volunteer) is responsible for ensuring the smooth and consistent execution of organizational priorities by coordinating workflows, tracking progress across teams, and maintaining operational alignment across multiple volunteer-led functions.
This role supports the translation of strategy into execution by ensuring that tasks, projects, and recruitment activities are properly assigned, tracked, and completed across departments.
The Operations Manager works closely with executive leadership and department leads to ensure that systems are functioning effectively and that teams are supported in delivering outcomes.
Key Responsibilities
Operational Coordination
* Coordinate day-to-day execution across multiple teams, including Recruitment, Communications, Community Relations, and People & Culture
* Ensure clarity of task ownership, deadlines, and deliverables across teams
* Maintain alignment between departments and support cross-functional collaboration
Workflow & Tracking Management
* Maintain and update operational tracking systems (e.g., recruitment pipelines, project trackers, task boards)
* Monitor progress of active initiatives and ensure timely completion of tasks
* Follow up with team members and leads to ensure accountability and progress
Meeting & Communication Support
* Coordinate internal meetings across teams and leadership
* Support preparation of agendas, documentation, and action item tracking
* Ensure decisions and next steps are clearly communicated and followed through
Recruitment & Operational Support
* Support the structure and coordination of recruitment workflows
* Track candidate progress across recruitment stages
* Ensure proper handoffs between recruitment pods and People & Culture for onboarding
Process Consistency & Execution Support
* Identify gaps or breakdowns in execution workflows
* Support improvements to operational systems and coordination processes
* Ensure consistency in how tasks and processes are executed across teams
Role Boundaries
This role does not include:
* Designing high-level organizational strategy
* Leading executive decision-making
* Acting as a personal assistant to leadership
* Independent control over departmental strategy or vision
Ideal Candidate
* Experience in operations, project coordination, or program management
* Strong organizational and follow-up skills
* Ability to manage multiple moving parts across teams
* Comfortable working in structured but evolving environments
* Strong communication and accountability mindset
Preferred:
* Experience in nonprofit, volunteer-based, or cross-functional team environments
* Exposure to recruitment, HR coordination, or project tracking systems
* Familiarity with tools such as Microsoft 365, Teams, or similar platforms
What Success Looks Like
* Teams have clear ownership and accountability for tasks
* Projects and recruitment pipelines move forward consistently without delays
* Leadership is not required for day-to-day coordination decisions
* Operational systems are well maintained and up to date
* Cross-team execution is structured, consistent, and reliable
Reporting Structure
This role reports to the Executive Operations Lead and works closely with department leads and executive leadership.
Time Commitment
Approximately 5-7 hours per week, flexible, with occasional increases during major giving campaigns or donor initiatives.
