Job Summary
The OHPP Compliance Coordinator is responsible for providing staff support to the Oklahoma Health Professionals Program (OHPP), a subsidiary of the Oklahoma State Medical Association. The OHPP provides support and referral resources for physicians and allied health care professionals who are experiencing difficulty with substance abuse or behavioral issues. OHPP services are provided throughout Oklahoma and are confidential.
Duties
- Provides direct staff support to the OHPP Program Manager and Medical Directors.
- Tracks necessary documentation for program participants’ individual treatment plan compliance, including compliance with recommended therapy and psychiatric visits, attendance records for tracking weekly Caduceus meetings for program participants and 12-step AA or NA meetings.
- Notifies medical directors, program manager, and/or participants of any non-compliance issues in a timely manner.
- Works with the directors to communicate with participants regarding recommended treatment programs, maintains communication with treatment facilities, and communicates appropriate facility discharge recommendations.
- Manages contact information and obtains confidentiality releases for participants in the OHPP, entering necessary information into the database.
- Works with licensing boards/agencies, associations, insurance companies, hospitals, and clinics in providing information, advocacy letters, or monthly/quarterly progress reports for program participants as approved by the medical directors.
- Prepares monthly billing for program fees and services provided to participants and monitors payments received.
- Maintains participants’ charts by keeping confidential information filed, scanned, and up to date, and by shredding any confidential communications and documents as dictated by OHPP policy.
- Tracks and records all charitable gifts and sends thank-you letters and receipts.
- Tracks and prepares monthly/annual billings for program fees.
- Tracks and maintains inventory of appropriate testing supplies.
- Maintains a working knowledge of the responsibilities of other OHPP staff, performing appropriate cross-training as needed.
- Assists OSMA staff with special projects or activities.
- Handles other duties as required.
Qualifications
- HS Diploma required; bachelor’s degree preferred.
- Ability to work independently and manage several activities simultaneously.
- Excellent oral and written communication skills.
- Strong organizational and computer skills, with specific knowledge in the following software programs: Microsoft Word, Excel, PowerPoint, Teams and OneDrive. Familiarity with RecoveryTrek/Salesforce software is beneficial but not required.
Administrative experience working in a non-profit association or case management is desirable.
Pay: $45,000.00 per year
