Company Description The American Council of Engineering Companies of California (ACEC California) is a nonprofit association representing private consulting engineering and land surveying firms across the state. For more than 70 years, the organization has supported the consulting engineering and land surveying professions while promoting public safety and the role of the private sector in California’s growth and development. Member firms provide services for all phases of planning, design, and construction for public works, residential, commercial, and industrial projects across multiple engineering disciplines. ACEC California operates through 21 local chapters, a 61-member Board of Directors, numerous committees and affiliated organizations, and a state office staff based in Sacramento. As the largest member organization within the national ACEC network, ACEC California offers strong statewide and national representation, along with active engagement through social media and professional communities.
Role Description Serve as general office administrative assistant. This is full-time position of 37.5 hours per week. Hybrid work schedule available after first 90 days of employment.
We are looking for a self-starter, pro-active positive team player that wants to join our crew of dedicated professionals. The ability to maintain a professional demeanor while undertaking administrative support and multiple projects is essential in this position. The ideal candidate for this job is thorough, a good problem solver and organized.

Description of Duties:
Front Office
· Answer phone and direct callers to appropriate person.
· Open and distribute mail (excluding checks).
· Receive and distribute incoming deliveries.
· Process credit card payments received over the phone.
Membership
- Assist in maintaining our membership database.
- Notify appropriate chapters and ACEC of membership changes monthly.
- Produce chapter membership rosters for chapter officers.
- Prepare and send New Member packets as well as keeping the cabinet restocked with materials.
- Assist with the annual update forms from member firms.
- Perform quarterly audits with National organization.
- Assist with membership dues billings (mailing, emailing invoices).
Committee Management
· Schedule meetings and prepare minutes for the following ACEC California committees:
o Business Management & Insurance (BMI)
o Engineering Excellence Awards (EEA)
· Prepare for committee meetings including: printing agendas, handouts, rosters, taking attendance and minutes.
· Collect committee reports for Board meetings.
Engineering Excellence Awards
· Design and distribute social media content & email blasts
· Create & update EEA webpages
· Assemble media kits
· Pull and compose press release content
· Cross-check EEA plaques for accuracy
· Create and print Commendation Certificates & table signs
· Update history tracking sheet
· Display board tracking
Attorney’s Roundtable (ART)
· Email invitations to prospective attendees and maintain attendance list.
· Set up the webpage for registration.
· Print and assemble packets.
· Provide administrative support on the day of the Roundtable.
Monthly Newsletter & Online Communications
- Solicit articles and draft the monthly newsletter.
- Send out newsletter and post on website.
- Assist with social media and email communications as needed
Events Support
- Assist with badges and tent cards for all registrants and speakers as necessary.
- Shipping, receiving and tracking of all materials for seminars and events.
- Assists in compiling packets for the registrants, exhibitors, guests and speakers.
- Provide professional customer service and correspondence to members when answering questions regarding events and accommodations.
Website Support
- Knowledge of YourMembership.com, experience in this software preferred, or ability to learn this software expected.
- Assist in posting content to website as needed.
- Regularly update specific pages on website to maintain current information.
- Monitor and approve requests for “member only” access.
- Monitor RFQ/RFP and job board postings.
Other Duties
- Take minutes for committee and board meetings upon request.
- Scheduling and assist managers with various committees.
- Administrative Support for staff and members.
- Assist in soliciting donations for the scholarship raffle and silent auction.
- Other duties as assigned.
Benefits
Execellent Benefits. Pay range $22 – $26 per hour
