Position Overview:

The Nonprofit Endowment Program Associate provides the administrative, data, technology, and event support that keeps the Nonprofit Endowment Program organized, responsive, and accurate. The Associate completes core execution responsibilities, maintains program records and public-facing information, and serves as a helpful frontline resource for endowed nonprofit partners. This role is primarily focused on reliable task execution, customer service, and operational support.

Principal Duties and Responsibilities:

Program Administration & Partner Support

  • Schedule partner meetings, board presentations, workshops, and other program activities; coordinate calendars, rooms, technology, materials, and related logistics.
  • Serve as a frontline resource for endowed nonprofit partners by answering questions, sharing established program information, and elevating relationships, compliance, or strategic matters to the Manager or Director.
  • Support the nonprofit endowment application and fund-establishment process by collecting documents, tracking outstanding items, preparing materials, and completing assigned setup steps.
  • Support annual endowment grant distribution process.
  • Maintain organized electronic files, calendars, distribution lists, processes and program records.
  • Assist with impact measurement and reporting by collecting, tracking, and maintaining program data and outcomes.

Technology, Data & Public Information

  • Manage online portal access for endowed nonprofit partners and provide technical assistance related to the portal, the Nonprofit Directory, and the Giving Hub.
  • Maintain accurate partner, contact, fund, and activity information in the database; run standard reports and support data-quality reviews.
  • Maintain and systematically review the Nonprofit Directory, Giving Hub, fund descriptions, and other public-facing program pages for accuracy and timely updates.
  • Track matching-grant opportunities, campaign deadlines, and required follow-up.
  • Support documentation of team procedures and maintain current checklists, templates, and administrative tools.

Events, Workshops & Meeting Support

  • Manage registration, RSVPs, guest lists, reminders, catering and logistical communications for workshops and special events, assist with setup, implementation and clean up.
  • Take accurate meeting minutes and distribute approved notes and follow-up materials in a timely manner.
  • Provide logistical support for the Nonprofit Endowment Advisory Committee and workshop series.
  • Participate and contribute across the Philanthropic Services department as requested.

Qualifications & Skills:

  • At least two years of administrative, program support, customer service, nonprofit, or related experience.
  • Strong attention to detail, organization, follow-through, and ability to manage multiple deadlines.
  • Clear and professional written and verbal communication skills.
  • Ability to provide responsive service while recognizing when an issue should be elevated.
  • Proficiency in Microsoft Office and comfort learning cloud-based databases, portals, and other technology systems.

Preferred Qualifications

  • Experience in a community-based nonprofit, foundation, financial-services, or fund-administration environment.
  • Experience with donor databases, customer relationship management systems, event registration platforms, or website content maintenance

Working Conditions & Physical Demands

  • Prolonged periods of sitting at a desk.
  • The ability to lift objects of 25 lbs.
  • Extended periods of working with a computer, requiring the ability to focus on tasks and navigate software interfaces.
  • Requires fine motor skills, including the ability to use touch, pinch, or pick primarily with fingers. This involves precision and dexterity for tasks such as typing, clicking and manipulating small objects.
  • Strong visual acuity is essential for tasks such as reading information on a computer screen and discerning details.
  • The work environment is an office setting with minimal noise.

Minimal travel in the metro and surrounding area.

Pay: $48,000.00 – $58,000.00 per year
