Beauty Bus seeks a Development and Database Manager with a passion for our values, mission, and work. This role will be a key part of our small team, managing the administration and database functions essential to support fundraising, individual donations, and events. Responsibilities
Development and CRM Systems Management
Accurately enter and maintain all information related to fundraising strategies, activities, and donor interactions in the organization’s Constituent Relationship Management (CRM) systems (Donor Perfect and GiveSmart).
Ensure database systems for donors, in-kind contributions, and volunteers are consistently updated and accurate.
Generate detailed reports and analyses to support fundraising and organizational strategies.
Development Administration and Support
Collaborate with Programming, Marketing, and the Executive Director to generate campaign mailing lists.
Receive and process gifts daily, including online transactions, mailed-in gifts, stock gifts, gifts-in-kind, matching gifts, pledges, and other special donations as appropriate, ensuring accurate and timely coding and entry of contributions into the database.
Manage donor and in-kind acknowledgment processes, including drafting and distributing acknowledgment letters and statements.
Coordinate donor engagement activities: mailings, appreciation events, and recognition efforts.
Assist in prospecting and outreach efforts for individual donors and in-kind contributions.
Support the creation of donor-focused materials, including event collateral and impact reports, in partnership with team members.
Event Management
Collaborate with the team to plan and execute event logistics, including securing venues, obtaining necessary permits and insurance, and coordinating vendor contracts.
Ensure the fulfillment of sponsor benefits and preparation of sponsorship reports.
Provide day-of-event support and manage post-event wrap-up tasks.
Attend all fundraising events to support the team and ensure smooth execution.
Track auction item donations and maintain an up-to-date, detailed catalog for online platforms.
Assist in the preparation, execution, and wrap-up of auction activities.
Office and Administrative Management
Manage administrative and shipping supplies, office equipment, and both physical and cloud-based filing systems to ensure the accessibility of essential documents and resources.

Qualifications
High school diploma or equivalent required; bachelor’s degree in marketing, Communications, Nonprofit Management, or a related field preferred.
At least one to two years of experience in an office setting, preferably in nonprofit development or communications.
Proficient with Microsoft Office Suite and digital tools used in non-profit development.
Experience with donor management systems (Donor Perfect and GiveSmart ) is highly desirable.
Excellent verbal and written communication skills, including proofreading and editing.
Ability to engage with diverse audiences with sensitivity and exceptional customer service.
A self-starter, able to function in a fast-paced, multifaceted, results-oriented work environment.
Strong organizational and time management skills with a proven ability to meet deadlines.
