POSITION OVERVIEW
The Museum Accounting Manager plays a vital role in ensuring the financial health and transparency of the organization. Reporting to the Chief Administrative Officer, this position is responsible for accurate financial reporting, payroll, budgeting, and ensuring compliance with relevant standards and nonprofit best practices. This individual works across departments to support SAAACAM’s long-term sustainability and mission fulfillment. Salary up to $60K based on education and/or experience.
KEY RESPONSIBILITIESFinancial Reporting
Prepare and review monthly, quarterly, and annual financial statements
Generate income statements, balance sheets, and cash flow reports
Deliver timely and accurate financial updates and analysis to leadership and the board
Accounting and Bookkeeping
Maintain general ledger and reconcile bank and credit card accounts
Process accounts payable and receivable
Manage journal entries and month-end close
Tax Filing
File quarterly sales tax reports
Distribute 1099s to vendors
Assist CPA with 990 filings and annual audit preparation
Budgeting & Forecasting
Partner with leadership to develop and manage the annual budget
Monitor budget-to-actual performance with variance analysis
Support budget planning and reporting for grants, events, and strategic initiatives
Compliance & Internal Controls
Ensure compliance with GAAP, IRS regulations, and nonprofit financial standards
Maintain internal controls and financial policies
Support audit readiness and external financial reporting
TEAM COLLABORATION & SUPERVISION
Supervise accounting staff or financial interns, as applicable
Offer guidance and financial literacy support to staff and department leads
Specific Collaboration with the Development Director
The Accounting Manager will work closely with the Development Director to ensure alignment between fundraising activities and financial operations. This includes:
Reconciling donations with accounting records for accurate reporting and audits
Coordinating on grant budgets, restricted funds, and expense reporting
Supporting forecasting with fundraising and pledge data
Ensuring correct classification of restricted vs. unrestricted funds
Tracking sponsorships, campaign proceeds, and donor intent per GAAP standards
Hosting regular check-ins to align financial data with fundraising strategies and donor reporting needs
Demonstrating a history of successful working relationships with development offices
QUALIFICATIONS & SKILLS
Required:
Bachelor’s degree in Accounting, Finance, or related field
Minimum 3 years of accounting experience (nonprofit or cultural sector preferred)
Proficiency with accounting software (QuickBooks, Sage Intacct, or similar)
Knowledge of GAAP and nonprofit accounting standards
Detail-oriented with strong analytical and problem-solving skills
Strong communication and interpersonal skills
Preferred:
CPA or candidate for certification
Experience supervising or mentoring staff
Familiarity with grant compliance and restricted funds
Knowledge of San Antonio’s nonprofit or arts & culture community.
