The Logistics and Class Experience Specialist for the Chapman Foundation for Caring Communities has a cape somewhere in their closet. Key Skills and Job Requirements

1. Working under the leadership of the Senior Director of People Experience, creates and supports exceptional event experiences by working collaboratively with CFCC directors, facilitators, partners, contractors, and vendors. Coordinates the delivery of all CFCC programs, in-person or virtually, ensuring they are taken through a high quality, standard delivery cycle. Works to continuously improve and/or maintain excellent class experiences based on data and evaluations. (70%)

● Participate in regular meetings to discuss best practices, coordinate professional development opportunities, and together strive for the highest quality, efficiency, and impact through logistics efforts. Implement and utilize quality operations and logistics procedures, systems and processes as needed.

● Communicate with participants, facilitators, vendors, and leaders to fully plan and manage each class or event. Assist participants with any questions or concerns.

● Work with the Logistics and Class Experience team and CFCC facilitators to ensure smooth and excellent class delivery and administration as assigned throughout the country.

● Assist with purchasing and delivery of course materials and equipment, maintain and execute all detailed checklists and processes for class, event, and/or project success.

● Maintain stock of course materials, handle ordering of materials and supplies as needed, treat participant reports and data with integrity.

● Share operational and programmatic milestones, lessons learned, success stories and recommended improvements with a lens of continuous quality improvement.

● Actively contribute to valuing and living out an inspiring team environment with open communication, listening, and celebrating the gifts, skills, and perspectives of others.

2. CRM and Data Management, utilizing reports and data to streamline and bring consistent leadership to all related functions. (10%)

● Utilize CRM to streamline and bring consistent leadership to pre- and post-class participant communication. Support CRM usage in relation to participant experience. Consistently and accurately maintain class data in the CRM (e.g., create events, track and manage events, close events, be able to answer questions about registration, etc.)

● Provide subject matter expertise and training as needed to teammates related to the scheduling and delivery of classes.

● Assist in maintaining in-person and online course offering, enrollment and outcome data across various platforms including CRM, organizational website, etc.

3. Support and participate in cross-departmental projects, events, and tasks related to administrative and logistics functions. (10%)

● Support various administrative functions for the CEO/COO/CPO as designated by the Senior Director of Logistics and Class Experience. (e.g., interview coordination, scheduling of meetings, creation of meeting packets, etc.)

● Participate in strategic opportunities to utilize the expertise of the Logistics and Classroom Delivery Specialists on projects or events. (e.g., annual conferences, professional development and networking opportunities, and annual summits)

4. Other duties as assigned. (10%)

The Logistics and Class Experience Specialist reports to the Senior Director of Logistics and Class Experience, works with a team of Logistics and Class Experience Specialists, and interacts regularly with multiple team members within CFCC, contractors, partners, and vendors.

Travel
Out-of-the-area and overnight travel may be expected at times and will be determined collaboratively with your leader, based on the event or program in question. If needed, travel may be up to 20% of the time and will be primarily domestic in nature. Overall, we believe and trust that you will exercise wisdom and discernment to request travel as needed to fulfill job goals and responsibilities.

Work Environment
This job operates in a relaxed, we-centric environment with occasional forays into more traditional professional settings and has a significant virtual component. This role routinely uses standard office equipment such as computers (laptop and/or desktop), phones, voicemail systems, photocopiers, filing cabinets, scanners, and fax machines.

Physical Demands
Minimal to light physical effort is generally required in performing duties in an office environment. This position requires the ability to operate a computer keyboard and standard office equipment at efficient speed. Physical stamina sufficient to sustain light physical labor and ability to remain in stationary position for up to 8 hours.

Mental acuity to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions. Manual dexterity sufficient to write, use the telephone, computer, calculator, and office machines at required speed and accuracy. Ability to identify and interpret communications in handwritten and printed materials, and on the display screen of various office equipment. Ability to meet with employees and community members at sites and other off-site meetings. Required Education and Experience

1. Awareness of own strengths and areas for growth. Able to recognize and celebrate unique strengths and gifts of others.

2. Demonstrated continuous improvement experience. Ability to illustrate being both quality-minded and we-centric through personal and/or professional experiences. Ability to articulate times when he/she has made mistakes, learned from them, and improved.

3. Associates or Bachelors degree in Business Administration or similar field, 3+ years’ experience in operational support, preferably in a multi-site nonprofit organization, or equivalent of education and experience.

4. Ability to work effectively in collaboration with diverse groups of people, handle a variety of constituencies, manage multiple tasks simultaneously.

5. Strong proficiency with Microsoft Office Suite, CRM software, learning management platforms, and data-based decision making.

6. Able to analyze situations and suggest ideas or solutions, ability to prioritize and communicate key objectives to achieve organizational goals and project deadlines.

7. Excellent communication (written, verbal, OCL suite) and interpersonal skills, strong organizational skills and attention to detail.

8. Manages ambiguity, creating structure where needed for organizational movement. Flexible, adaptable, able to reorient effectively when plans require change.
