Position Description
We are seeking a skilled and detail-oriented CRM Administrator to join our Admissions Operations team. The successful candidate will be responsible for managing and optimizing the use of our CRM system (TargetX/Salesforce) to support the Admissions team’s recruitment and enrollment goals. This role will work with our dynamic and hybrid Admissions team, but will also collaborate with the IT department, participate in cross-departmental planning, train staff, maintain system integrity, and continuously improve data management processes.
Position Accountabilities and Essential Functions
System Administration & Configuration
Oversee the day-to-day configuration, user setup, upgrades and maintenance of TargetX/Salesforce, ensuring optimal system functionality.
Monitor system health, performance, and data integrity, performing regular audits and de-duplication efforts.
Data Management & Reporting
Extract and manage data from the CRM to support recruitment, enrollment, and marketing efforts.
Retrieve provided data from other platforms and external sources, and upload it to the CRM system to ensure comprehensive data management.
Design and maintain dashboards and reports, incorporating maps, graphs, and tables to present key performance indicators (KPIs) to the team.
Manage all prospective student databases, ensuring accurate, up-to-date information on high schools and colleges.
Form Management
Manage and maintain forms in Form Assembly and SoftDocs to ensure appropriate data collection for recruitment and reporting purposes.
Ensure forms are configured and optimized for accurate data entry and reporting.
CRM System Training & Support
Train and support Admissions Representatives and new hires on the CRM system’s functionality and best practices.
Serve as the primary point of contact for CRM-related troubleshooting and support.
Develop and maintain training documentation and materials for system users.
Troubleshoot or provide support to prospective students with good customer service
Collaboration & Integration
Partner with IT and Enrollment Services to ensure smooth data integration between TargetX, Colleague and SoftDocs.
Collaborate with third-party vendors to integrate CRM with other enterprise systems, ensuring seamless data flow.
Work closely with the Director of Admissions Operations to identify business needs and develop CRM solutions that support the admissions team to meet their individual and overall enrollment goals.
Process Improvement & Strategy
Participate in the review and development of business practices and procedures to maximize efficiency and minimize time spent on data entry.
Identify opportunities for system enhancements and innovations to improve overall enrollment processes.
Other Duties
Provide ongoing support and troubleshooting for CRM-related issues.
Assist with additional tasks as assigned by the Director of Admissions Operations and leadership.
Additional responsibilities as assigned.
Qualifications and Experience
REQUIRED QUALIFICATIONS:
Bachelor’s degree in Computer Science, Information Technology, Business, or a related field, or equivalent professional experience.
Minimum of 2 years of Salesforce administration experience.
Experience with CRM systems and import tools.
Strong technical skills in data management, system configuration, and process automation.
Excellent communication and interpersonal skills, with the ability to train and support a diverse team.
Ability to work collaboratively with cross-functional teams to achieve common goals.
Detail-oriented with a focus on accuracy, efficiency, and data integrity.
PREFERRED QUALIFICATIONS:
Experience with Salesforce or other CRM platforms and familiarity with Ellucian or Colleague Student Information Systems
Salesforce Administrator Certification
Familiarity with Salesforce Cloud and student lifecycle management processes (e.g., admissions, enrollment, retention).
Prior experience with CRM systems in higher education or admissions is highly desirable.
Experience with Softdocs is a plus

WORK ENVIRONMENT: This job operates in a professional office and college campus environment. The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions. This position may qualify for Remote work arrangement at the discretion of institution leadership.
