The International Program Manager will serve as the primary U.S. based operational partner for Hope Smiles’ international programs, ensuring sites have the people, resources, systems, and support needed to operate effectively.
This role will oversee project management, SOPs, budgets, logistics, procurement, compliance, safety, and operational reporting while building strong relationships with in-country leaders and partners. The ideal candidate is an organized, proactive problem-solver who can balance consistent organizational standards with the unique needs of each community.
Schedule:
- Monday – Friday, with schedule flexibility based on international travel and outreach needs
- Must be willing and able to travel internationally to Hope Smiles locations, including Uganda and potentially El Salvador
- Some evenings, weekends, and holidays may be required during international trips or outreach events
Key Responsibilities:
- Serve as the primary U.S. based operational point person for international sites and maintain regular communication with in-country leadership and staff.
- Ensure each location has the staffing, supplies, equipment, systems, and resources needed to operate effectively.
- Establish consistent Hope Smiles standards, SOPs, and operational expectations while allowing for appropriate local adaptation.
- Manage project plans, timelines, task ownership, deadlines, operational metrics, records, and regular site reviews; report progress to the COO.
- Coordinate procurement, donations, inventory, shipping, customs, receiving, and distribution of dental supplies and equipment.
- Partner with vendors, corporate partners, the COO, and finance team to manage international supply needs and operating budgets.
- Track site and program expenses, ensure donor-restricted funds are used appropriately, and maintain required financial documentation and approvals.
- Coordinate visas, travel documentation, insurance, waivers, emergency contacts, and other team requirements.
- Support compliance with local regulations and maintain safety, emergency response, and communication procedures for international teams.
- Build strong relationships with in-country teams, clarify roles and expectations, and support local leaders without creating dependence on the U.S. team.
- Support the launch and expansion of international locations by developing opening plans, assessing potential sites, and coordinating facilities, staffing, equipment, supplies, technology, transportation, and timelines.
Qualifications:
- Strong project management skills, including timelines, priorities, deliverables, and deadlines.
- Experience developing and maintaining SOPs, workflows, and operational systems.
- Experience managing budgets, tracking expenses, and maintaining accurate financial records.
- Ability to coordinate international logistics, including shipping, customs, travel, visas, and insurance.
- Strong communication, problem-solving, and decision-making skills with cross-cultural teams and international partners.
- Ability to maintain consistent organizational standards while adapting to local needs.
- Proficiency with Microsoft Office or Google Workspace and ability to learn organizational systems and databases.
- Willingness to travel internationally as needed.
- Spanish-speaking strongly preferred.
- Experience in Africa, Central/Latin America is a plus.
- Dental experience is helpful but not required.

- High school or equivalent (Required)
- Bachelor’s degree in business, hospitality, nonprofit management, international development, or related field (Preferred)
Experience:
- Travel coordination: 2 year (Preferred)
- Administrative or operations experience: 2 years (Preferred)
- Project coordination: 1 year (Preferred)
- International travel experience: Preferred
- Nonprofit, healthcare, dental, or outreach experience: Preferred
