The Foundation Specialist supports the operational success of fundraising efforts at Sentara Martha Jefferson Hospital by ensuring the accurate, timely, and compliant processing, management, and reporting of all charitable gifts and constituent data. This position is an important partner in donor stewardship and development operations, helping to ensure a high‑quality donor experience through excellence in data integrity, acknowledgements, and internal collaboration.

This role functions as a frontline steward of the Foundation’s donor database (CRM), supporting gift processing, data governance, reporting, and administrative operations that enable informed fundraising strategy, financial reconciliation, and donor recognition.

Job Duties Gift Processing & Donor Data Management

  • Accurately process, enter, receipt, and track all charitable gifts—including cash, checks, pledges, and other gift types—in the Foundation’s approved CRM database in accordance with established policies, procedures, and regulatory requirements.
  • Ensure the completeness, accuracy, consistency, timeliness, and validity of donor, gift, and fund records, supporting strong data governance and long‑term data integrity.
  • Research, analyze, and resolve discrepancies in gift and constituent records, coordinating corrections as needed.
  • Maintain comprehensive digital and physical documentation for gifts, funds, and constituent records in accordance with record‑retention standards.
  • Create, maintain and circulate fundraising metrics reports that drive data‑driven annual giving and major giving programs, and efficient donor events.

Donor Acknowledgement & Stewardship Support

  • Produce accurate, professional, and timely gift receipts and donor acknowledgements tailored to gift type and donor intent.
  • Support donor stewardship and recognition initiatives through precise data entry, reporting, list management, and email and print outreach.
  • Collaborate with annual giving colleagues to create and send emails that drive donor acquisition, retention and gift upgrades through consistent relationship building and measurable engagement activities.

Reporting, Lists & Development Operations Support

  • Generate routine and ad‑hoc reports related to gifts, donors, campaigns, funds, and events to support fundraising, stewardship, finance, and leadership needs.
  • Produce lists and mailings for appeals, acknowledgements, and events, ensuring data accuracy and appropriate segmentation.
  • Assist with event‑related data preparation, registrations, and post‑event reporting as needed.

Website Support

  • Update website pages to align with ongoing campaigns and events.
  • Ensure up‑to‑date content across all website pages.
  • Coordinate with IT colleagues to resolve website functionality issues.

Finance & Cross-Department Collaboration

  • Coordinate closely with Finance and Accounting to support deposit notifications, reconciliation, and accurate gift designation.
  • Serve as a collaborative partner to Development, Finance, and other departments to ensure alignment between fundraising activity, financial reporting, and donor intent.

Skills Required

  • Strong proficiency in Microsoft Excel and Word, with demonstrated ability to manage data, reports, and documentation.
  • Significant experience in data entry and database management; experience with fundraising CRMs (Raiser’s Edge or similar) strongly preferred.
  • Understanding of the role of donor databases in fundraising operations, reporting, compliance, and donor stewardship.
  • Exceptional attention to detail, accuracy, and data quality.
  • Ability to work independently and manage multiple priorities in a deadline‑driven, fast‑paced environment.
  • Excellent organizational, written communication, and interpersonal skills.
  • High level of professionalism, discretion, and integrity when handling confidential information.
  • Demonstrated ability to collaborate effectively with diverse internal stakeholders.

Work Schedule

Monday – Friday, 8:30‑5:00 pm in person.
