Job Title: Finance & HR Coordinator
Reporting Relationship: Chief Financial Officer (CFO)

Required Hours: Part-time – 22-26 hours per week, Hourly, Non-exempt

Position Summary:
The primary purpose of this position is to assist the CFO with daily bookkeeping tasks by processing revenue, managing accounts payable, maintaining donor records, and assisting with other financial tasks. This individual supports human resources by preparing payroll, maintaining HR documents and files, and coordinating essential HR functions on a day-to-day basis. This individual also serves as the primary point person for overseeing the PRC office.
Specific Responsibilities:
Finance
o Coordinate & oversee accounts payable process: Post invoices, purchase requisitions, and credit card bills. Pay approved bills on a timely basis. Send payment reports. Handle credit memos, void checks, etc.
o Enter gifts into database
o Process monthly and one-time credit card/EFT donations
o Oversee changes in Denarii during events
o Issue receipts for donor gifts. Monitor event sponsorships and send invoices when necessary
o Assist with PRC events (Gala, Walk for Life, etc.): Process donations. Record donor pledges. Send donor statements
o Coordinate PRC credit cards: Issue new cards upon approval. Make account changes. Cancel cards
o Assist CFO with other finance tasks as they arise
o Maintain and reconcile petty cash as needed
Payroll
o Process payroll bi-weekly: Review and correct time sheets. Record payroll data in ADP. Print reports for CFO to review. Send payroll files to ADP. Post payroll in financial software. Transfer 401K contributions
o Track and monitor employee ETO time
o Update ETO balances on PRC spreadsheet to compare to ADP reports
Human Resources
o Maintain human resources records: Ensure documentation for new hires (run background checks), terminations, changes in job classifications, reviews, merit increases
o Assist HR Consultant with the hiring process: Review the job posting and post the position.
o Assist hiring managers with preparation for the on-boarding process: Distribute keys. Coordinate with the Office Coordinator for phone system, PC, passwords, etc. Order name tag and office plate
o Assist HR Consultant with onboarding new employees: Provide orientation information packets. Review company policies. Gather withholding and other payroll information. Explain and obtain signatures for benefit programs and HR forms. Process forms accordingly
o Assist HR Consultant with the exiting of employees: Collect keys and equipment. Process forms accordingly
o Process forms for new hires, status changes or terminations per checklists
o Assist managers and HR Consultant with documenting human resources actions by completing forms, reports, and records
o Participate in the setup of benefit renewal plans. Act as liaison to benefits insurance agent
o Coordinate staff benefit enrollment: Distribute information and paperwork to staff. Add, change or remove benefit coverage for staff. Serve as first point of contact for staff regarding benefit questions
o Maintain staff directory with current information
o Track and ensure all staff receive mandatory training
o Assist HR Consultant with other HR tasks as they arise
o Process new volunteer information files: Collect and file forms per checklists. Perform criminal background check
Office Management
o Act as the point person for greeting and directing PRC callers and guests
o Possess basic working knowledge of office equipment and be able to provide instruction as needed
Other
o Occasionally proofread development materials including monthly prayer calendar
o Attend staff meetings, events, and training sessions, as required
o Assist with insurance coverage and claims
