Finance Assistant

Location: Macon, GA

Reports to: Chief Financial Officer

Position Summary:

The Finance Assistant supports the overall financial operations of the organization by performing routine accounting tasks, maintaining accurate financial records, assisting with reporting, and ensuring compliance with internal and external financial policies. This role is critical in supporting the mission-driven work of the organization by ensuring sound financial management and accountability.

This position assists in numerous tasks of our organization’s business functions for our mission to serve individuals with intellectual and developmental disabilities in a manner rooted in compassion, excellence, and faith. The ideal candidate is a self-starter who is solution-focused, responsive to the needs of others, and committed to a high standard of customer service in support of our Neighbors, team members, and physical assets.

Job Responsibilities

Essential Duties and Responsibilities:

Accounts Payable:

Scan and upload invoices/receipts into Bill.com; provide copies as appropriate to various staff for approval.

Scan and upload check and reimbursement requests into Bill.com

Assist with determining/coding expense allocations across various departments

Download various monthly credit card statements: Distribute to cardholders for coding/receipt submission. Code transactions in QuickBooks.

Accounts Receivable:

Scan, upload and process bank deposits

Assist with the Medicaid billing process via GAMMIS

General Accounting/Finance:

Manage all aspects of new Central Purchasing of items: Gathering requisitions/ordering from Vendors/Inventory Management/Order fulfillment/Allocations of expenses

Perform data entry, maintain spreadsheets, and update financial databases

Respond to financial inquiries from staff, vendors, and donors

Job Qualifications:

Education & Required Experience:

Associate’s degree or a minimum of 5 years of accounting/financial experience, preferably in a multi-site nonprofit, healthcare, or residential setting.

Proven ability to take initiative and work independently while prioritizing multiple demands.

Familiarity with accounting software (e.g., QuickBooks, Bill.com)

Knowledge of nonprofit accounting principles, including fund accounting, is a plus

Strong attention to detail and organizational skills

Proficiency in Microsoft Excel and other Microsoft software

Ability to handle confidential information with discretion

Excellent communication and interpersonal skills

Essential Physical Requirements:

Must be able to life 15 pounds at times.

Must hold a valid driver’s license.

Must submit to a criminal background check and be cleared for employment.

Occasional evening or weekend work may be required for events or deadlines
