As the Festival Support & Online Auction Coordinator, you will play a vital role in ensuring the success of our various events, including our flagship Naples Winter Wine Festival, and contribute to creating a brighter future for children.
Role and Responsibilities:
As the Festival Support & Online Auction Coordinator, you will be an essential part of the team responsible for the Online Auction, Lot Room Coordination and providing direct support to the Senior Vice President, Naples Winter Wine Festival & Event Production. Your responsibilities will include:
Online Auction:
Overseeing all aspects of the Online Auction, including data entry, lot development, marketing and fulfillment.
Collaborating with the Online Auction Festival Chair(s) on lot development and procurement.
Working with the SVP, NWWF & Event Production on marketing and technology designs and plans.
Lot Room Coordination:
Coordinating the aesthetic of the Lot Room with sponsors, Festival Chairs, and the SVP, NWWF & Event Production.
Managing the collection and return of marketing collateral from donors in a timely manner.
Maintaining inventory of donors’ items for each lot.
Creating signage for each lot and enhancing displays with additional props.
Assisting with set-up and tear-down, coordinating with volunteers and sponsors.
Liaising with Check Out when items are being removed from the Lot Room.
Promotion & Social Media Coordination:
Coordinate the execution of NWWF social media content planning, scheduling and community engagement to amplify messaging and storytelling across all channels.
Coordinate additional NWWF marketing opportunities with luxury brand partners.
Assist with the creation, editing and deployment of auction lot videos, collaborating with videographers, donors, and SVP, NWWF & Event Production to ensure polished, high-quality content.
Event Logistics:
Assisting with specific aspects of events as assigned.
Supporting volunteers with event supply inventorying and managing vendor deliveries and pickups.
Organizing the warehouse and maintaining inventory of event items.
Qualifications:
Extreme attention to detail and ability to manage multiple tasks
Previous experience in event logistics, coordination, administrative support or related roles.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal abilities.
Ability to work effectively in a fast-paced and dynamic environment.
Proficiency in managing event technology and online auction platforms is a plus.
