Save a Life International is a nonprofit organization dedicated to helping women in crisis pregnancies in Ukraine, Poland and USA. We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support our leadership team. This role involves managing executive schedules, coordinating donor communications, assisting with fundraising campaigns, and ensuring smooth organizational operations and Talent Acquisition. The ideal candidate will be proactive, mission-driven, and capable of handling sensitive information with discretion.
Key Responsibilities:
• Executive Support: Provide administrative assistance to the leadership team, including calendar management, meeting coordination, and travel arrangements.
• Communication & Correspondence: Serve as a liaison between executives, donors, partners, and stakeholders, drafting emails, reports, and official communications.
• Fundraising & Donor Relations: Assist in donor communication, manage donor databases, and help organize fundraising campaigns and events.
• Meeting Coordination: Schedule meetings, prepare agendas, take minutes, and track follow-up tasks.
• Project Assistance: Support ongoing initiatives such as baby box distributions, grant applications, and community outreach programs.
• Record Keeping & Reporting: Maintain organized files, track expenses, and assist with financial documentation.
• Event Support: Help coordinate logistics for fundraising events, webinars, and organizational meetings.
• Office Administration: Order supplies, process reimbursements, and ensure efficient office operations.
• Confidentiality & Discretion: Handle sensitive organizational and donor information with professionalism and integrity.
Talent Acquisition including advertising, interviewing and making recommendations to management to increase the staff as needed in fundraising and Life Centers
Qualifications & Skills:
• Education: Bachelor’s degree in business administration, nonprofit management, communications, or a related field (preferred).
• Experience: Minimum 3 years of experience in an administrative support role, preferably in a nonprofit or fundraising environment.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and donor management systems (e.g., Salesforce, Bloomerang, or similar).
• Organization & Time Management: Strong ability to prioritize tasks, meet deadlines, and manage multiple projects efficiently.
• Communication: Excellent written and verbal communication skills, with experience drafting professional correspondence.
• Attention to Detail: Ability to produce accurate reports, maintain records, and ensure compliance with organizational policies.
• Adaptability & Initiative: Ability to work independently in a fast-paced, mission-driven environment.
Preferred Qualifications:
• Experience working in a nonprofit, especially in donor relations or fundraising.
• Knowledge of grant writing and nonprofit compliance requirements.
• Familiarity with social media and digital marketing tools.
