Salary: $95,000 to $110,000 Depending on Experience

Salary Adjusted to local market rates.

POSITION SUMMARY

The Executive Manager–Office of the President provides high-level administrative & operational support to the President & Chief Executive Officer (President/CEO) of Museum of the Bible (MOTB). He/she helps create the structure, preparation, and follow-through needed for the President/CEO to focus his time on the Museum’s highest priorities. This position serves as a vital operational link between the President/CEO, Director of Executive Affairs, Executive Leadership Team (ELT), the Board, museum departments, donors, partners, and external stakeholders (such as local & international government officials & faith leaders) while helping to ensure that commitments made by the Office of the President translate into action.

Working closely with the President/CEO and Director of Executive Affairs—in a fast-paced environment, with competing priorities & under tight deadlines—this detail-oriented role is responsible for a broad range of critical duties, including: managing the President/CEO’s schedule & calendar, coordinating meetings & complex travel logistics, supporting executive communications (including emails), timely expense reporting, preparing meeting agendas & minutes, and ensuring that important priorities and follow-up items are carried through to completion.

The Executive Manager must anticipate and proactively manage requirements/deliverables for the President/CEO, providing white-glove service to all internal & external constituencies, maintaining the highest level of confidentiality & professionalism, and ensuring effective day-to-day operations.

DUTIES & RESPONSIBILITIES

Executive Scheduling & Logistics

  • Manage & maintain the President/CEO’s calendar, including internal meetings, external appointments, donor engagements, speaking engagements, events, travel, and other commitments
  • Coordinate closely with the President/CEO and Director of Executive Affairs to prioritize scheduling requests based on organizational and executive priorities
  • Serve as a primary point of coordination for individuals and organizations requesting meetings with the President/CEO
  • Anticipate scheduling conflicts and proactively recommend solutions
  • Prepare the President/CEO’s daily and weekly schedule with all necessary logistical information
  • Coordinate meeting logistics, including locations, transportation, technology needs, meals, guest access, and other arrangements
  • Assist with travel planning and itineraries, including transportation, lodging, meeting schedules, and related logistics
  • Ensure the President/CEO has the appropriate briefing materials, contact information, agendas, and background information in advance of meetings and events
  • Coordinate with internal departments regarding the President/CEO’s participation in museum programs, donor engagements, special events, and other institutional activities
  • Maintain appropriate flexibility to accommodate changing priorities and time-sensitive requests
  • Maintain timely reporting on expenses incurred by the President/CEO by submitting receipts and proper financial reporting.

Executive Communications & Office Coordination

  • Triage, manage and maintain email correspondence for the President/CEO
  • Draft, prepare, proofread, and coordinate correspondence on behalf of the President/CEO and Executive Office
  • Assist the President/CEO and Director of Executive Affairs in preparing donor, VIP, government, embassy, ministry, and stakeholder profiles in advance of meetings and engagements
  • Track follow-up items resulting from meetings, events, donor conversations and executive commitments
  • Serve as primary liaison between the President/CEO and Board of Directors, coordinating Board communications & materials and managing the BoardEffect platform to ensure timely, accurate, and secure access to information
  • Facilitate interdepartmental communication and help ensure assignments & action items involving the Office of the President are communicated to the appropriate departments and completed in a timely manner
  • Maintain organized records of correspondence, meeting notes, briefing materials, contact information, and executive follow-up
  • Assist with thank-you letters, invitations, acknowledgments, meeting requests, and other executive communications
  • Assist in preparing agendas, briefing documents, talking points, background materials, and other documents for the President/CEO and Director of Executive Affairs
  • Work with Development and other departments to ensure appropriate preparation and follow-up for donor meetings and engagements
  • Monitor outstanding requests and commitments and proactively remind appropriate individuals of upcoming deadlines and deliverables
  • Handle sensitive and confidential information with professionalism and discretion
  • Provide additional administrative and project support to the President/CEO and Director of Executive Affairs as needed
  • Other Duties as Assigned.

QUALIFICATIONS & REQUIREMENTS

Knowledge

  • Bachelor’s degree or equivalent combination of education & relevant professional experience
  • At least 5 years of experience supporting a senior executive, executive office, nonprofit leader, or similarly demanding professional environment preferred
  • Knowledge of standard executive office procedures.

  • Proficiency with MS Office Suite, Outlook, calendar management, and related productivity tools
