About the Opportunity

The Executive Assistant to the CTXO serves as a strategic partner to the Chief Talent and Experience Officer, enabling the smooth coordination of volunteer governance, project support, and key initiatives. This role is central to maintaining alignment and momentum across multiple teams and workstreams, ensuring effective communication, scheduling, and logistical execution. The position is crucial for supporting the organization’s operational goals and enhancing the experience of members, volunteers, and staff.

Responsibilities

  • Provide strategic administrative support to the Chief Talent and Experience Officer, managing a complex calendar and aligning priorities.
  • Support travel logistics, including processing expenses and reimbursements.
  • Manage correspondence and communications, drafting materials and ensuring timely follow-up.
  • Track and manage key initiatives across Member Experience, Volunteer Engagement, and People & Culture.
  • Maintain project plans to monitor progress, risks, and dependencies.
  • Coordinate internal and external meetings, including scheduling and agenda preparation.
  • Capture meeting notes, manage action items, and ensure accountability.
  • Support volunteer committee operations through planning, scheduling, logistics, and materials coordination.
  • Plan and execute internal and external events, managing timelines and resources.
  • Organize systems for documentation and record keeping to support project continuity.
  • Support and coordinate special projects and cross-functional initiatives to ensure alignment and timely execution.

Requirements

  • 3 to 5+ years of experience in executive administration, operations, or project coordination.
  • Strong organizational skills with high attention to detail.
  • Exceptional written and verbal communication skills.
  • Ability to manage multiple priorities and stakeholders effectively.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
  • Experience with project management tools such as Smartsheet, Asana, or Monday.com.

Preferred Qualifications

  • Experience in a nonprofit or association environment.
  • Project management certification.
  • Must be able to perform essential duties satisfactorily with reasonable accommodation.
  • Authorized to work in the United States.

Compensation & Benefits

Compensation

  • Annual Salary: $78,500 to $87,500.
