A nonprofit, prestigious, and mission-driven New York City organization, is seeking a polished, highly strategic Executive Assistant to support its President & CEO. This is a unique opportunity to serve as a trusted partner to executive leadership in a fast-paced, high-profile environment while overseeing an administrative professional and helping drive the efficiency of the Executive Office.

This role is ideal for an experienced Executive Assistant who thrives in a dynamic setting, enjoys building processes, and can anticipate needs before they arise. The successful candidate will possess exceptional judgment, executive presence, and the ability to manage sensitive and confidential matters with the highest level of discretion.

Schedule: Monday – Friday, 9:00 AM – 6:00 PM, 24/7 mentality – availability afterhours required.

Location: Upper East Side, NYC (5 days onsite)

Compensation: $115,000 – $125,000 base

Responsibilities

  • Provide seamless, high-level support to the President & CEO, managing complex calendars, meetings, travel logistics, and day-to-day executive operations.
  • Oversee and mentor an administrative professional who reports directly into this role.
  • Serve as a strategic thought partner by creating and implementing systems, improving processes, and ensuring the Executive Office operates efficiently.
  • Coordinate executive meetings, Board engagements, and special events, including preparing presentations, reports, agendas, and meeting materials.
  • Act as a key liaison with senior leadership, Board members, donors, stakeholders, and external partners while maintaining professionalism and confidentiality.
  • Manage incoming communications, prioritize executive requests, and ensure timely follow-up across multiple departments.
  • Support special projects, research initiatives, and organizational priorities as assigned.
  • Attend evening and occasional weekend events when needed, demonstrating flexibility and a true executive support mindset.

Qualifications

  • Bachelor’s degree preferred.
  • 7+ years of experience supporting C-level executives or senior leadership in a fast-paced environment.
  • Demonstrated experience managing competing priorities while maintaining exceptional attention to detail.
  • Advanced proficiency in Microsoft Office Suite.
  • Outstanding written and verbal communication skills with impeccable professionalism and executive presence.
  • Proven ability to build strong relationships with high-profile stakeholders, including Board members, donors, and senior executives.
  • Highly organized, proactive, and resourceful, with the ability to anticipate needs and solve problems independently.
  • Comfortable working with a schedule that occasionally extends beyond traditional business hours to support executive priorities and events.
