The Executive Assistant will provide high-level administrative support to the Chief Executive Officer (CEO). This position is responsible for providing high-level administrative, operational, and project leadership by supporting, coordinating, and managing multiple priorities in an efficient and confidential manner.

The Park Danforth is searching for a support person who exhibits warmth, patience, and can communicate effectively with staff across all departments as well as residents. This individual must also take pride in producing high-quality correspondence, presentations, RFP’s and reports on behalf of the CEO. Must be tech savvy, detailed, possess excellent time management skills and uphold confidentiality and professionalism at its highest.
The individual in the role will be the gatekeeper of the CEO’s time and must be able to triage requests for time with the CEO. This includes managing her calendar and all meetings/appointments in house and keeping her abreast of any changes. The Executive Assistant is also expected to produce correspondences and presentations on the CEO’s behalf so expertise in written communication and presentation development.
Other Specific responsibilities include:
- Providing support for Board of Trustees meetings including: scheduling and organizing all meetings associated with Board activities, arranging for transcription of minutes, and preparing materials for the meetings.
- Coordinating logistics for on-site and off-site meetings for a broad range of groups. Involves, but is not limited to organization and scheduling, meeting invitations, coordinating meeting materials in advance, IT arrangements (AV equipment), coordination of catering, and any necessary and associated travel itineraries. Attending meetings and takes notes, as needed.
- Maintaining filing systems, internal databases, and spreadsheets
- Collects and compiles data from diverse sources for research purposes as requested.
- Handles administrative details and routine issues independently and takes responsibility for completing in a timely fashion.
- Oversees special projects assigned by the CEO, taking on assignments with a high level of discretion.
The right candidate will possess:
- An undergraduate degree or equivalent combination of education and experience in a related area. 5+ years of direct experience in supporting a C Suite level. Experience in a similar industry (non-profit) is a bonus.
- Ability to read, analyze and interpret general business information, professional journals and regulatory information
- Ability to manage multiple projects independently, prioritize and develop timelines for completion. Capable of meeting specified deadlines on a consistent basis.
- Innate ability to maintain confidentiality and discretion
- Relationship building ability with naturally collaborative spirit
- Keen ability to quickly understand how the organization is structured and how it works as well as the Elder Housing industry
- Accepts duties as assigned in a cooperative manner and performs other duties as requested by the CEO
- Exhibit competence working with spreadsheet software (Excel) and MS Office Suite software, especially Power Point and Word. Familiarity with Canva or similar software, a plus.
