Key Responsibilities
- Provide high-level administrative support to senior executive leadership in a fast-paced environment.
- Manage complex calendars, scheduling, and shifting priorities across multiple stakeholders.
- Coordinate domestic and international travel, including detailed itineraries and last-minute changes.
- Serve as a key point of contact for executive communications and internal requests.
- Support leadership meetings by coordinating agendas, materials, logistics, and follow-up items.
- Prepare presentations, reports, correspondence, and other executive-level documents.
- Assist with meeting planning, visitor coordination, expense reporting, purchasing, and general executive office operations.
- Partner closely with executive leadership to ensure day-to-day priorities are executed efficiently.
Required Qualifications
- Experience supporting senior executives in an executive administrative, executive coordinator, or similar high-level support role.
- Proven experience managing complex calendars and executive scheduling.
- Experience coordinating frequent domestic and international travel.
- Ability to adapt quickly in a fast-paced, constantly changing environment.
- Highly proactive with strong problem-solving skills and the ability to anticipate executive needs.
- Exceptional organizational skills with outstanding attention to detail.
- Strong verbal and written communication skills.
- Advanced proficiency with Microsoft Outlook and PowerPoint.
- Proficiency in Microsoft Word and working knowledge of Excel.
- Ability to manage multiple priorities while maintaining professionalism and confidentiality.
- Experience coordinating executive meetings, leadership events, or governance-related activities is a plus.
Preferred Qualifications
- Experience in a nonprofit, association, professional services, or corporate headquarters environment.
- Exposure to supporting executive leadership meetings or governance activities.
- Experience creating executive presentations and briefing materials.
- Familiarity with purchasing, invoice processing, or expense management.
- Experience coordinating executive events, leadership retreats, or organization-wide meetings.
